This position is an Administrative Support Assistant (OA), Office of Environmental Health and Engineering, located in Duluth, MN, Sault Ste. Marie, MI and Rhinelander, WI. This position reports to the Administrative Officer or designee.
Open until Filled: This announcement is open until the vacancy is filled. It may be extended or closed prior to the current closing date. First cut-off date for applications is 11/27/23 and every 10 business days thereafter (12/11/23, 12/26/23, and 12/31/23).
Duties
Handles incoming and outgoing materials such as controlled or routine correspondence, reports, memoranda, and other forms of written communication.
Compile, organize, and track program data which may include statistical information.
Manage the appointment and meeting schedule for the Director and those of other senior staff members.
Receive, refer, and interact with persons within and outside of the immediate organizational unit.
Perform a wide variety of administrative tasks required to support the work of the organization.
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
GS-05: Four (4) years above high school or One (1) year of Specialized Experience equivalent to at least the GS-04 grade level. Examples of Specialized Experience: Create correspondence in proper formats utilizing word processing programs; maintain manual and electronic calendars to add, delete or change meetings; serves as a receptionist or point-of-contact for an office; maintaining electronic and hard copy files; inputting data into an automated timekeeping system; input data into an electronic database for procurement of equipment and supplies.
GS-06: One (1) year of Specialized Experience equivalent to at least the GS-05 grade level. Examples of Specialized Experience: Performs administrative processes such as time keeping; preparing records for processing; scheduling for upper management using electronic calendars; respond to complaints from the public; compile information from a variety of sources to prepare reports; prepare and submit supply requisitions according to established rules.
GS-07: One (1) year of Specialized Experience equivalent to at least the GS-05 grade level. Examples of Specialized Experience: Receive requests from others on but not limited to personnel requests, travel and/or training requests, and determine the appropriate procedures to complete; provide guidance to managers on personnel requests; troubleshoot problem encountered by managers or employees on automated systems related to but not limited to timekeeping, travel, training, etc.; serve as first point of contact for all incoming calls or visitors to address need; draft into final form response to correspondence or report request.
Proficiency Requirements: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate.
40 words per minute typing speed
Specialized Experience Defined--Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Applicants who have the 1 year of appropriate specialized experience, as indicated in the table, are not required by this standard to have general experience, education above the high school level, or any additional specialized experience to meet the minimum qualification requirements.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
