Assists overseeing the Medical Staff Assistants (MSAs) of the Imaging Department. The incumbent provides leadership and guidance to the MSAs in the Imaging Department. The incumbent should be familiar with all modalities of the Imaging Department and their scheduling procedures. The incumbent will assist staffing all modalities of the Imaging Department and the day-to-day operations as directed by upper management.
Duties
Incumbent will serve as lead of all MSAs in the Imaging Department. To this end the incumbent must be familiar with each modality of the Imaging Department as far as the role of the MSAs are concerned. The incumbent provides technical guidance to departmental MSAs, including workload distribution and training.
The incumbent is truly familiar with the VistA Scheduling package and all the practices and regulations governing scheduling regarding the Imaging Department. The incumbent oversees all aspects of the Imaging Department as MSAs are concerned and ensures MSAs are in compliance with all regulations and established practices regarding Imaging Department scheduling. The incumbent must be able to schedule appointments for all modalities in the Imaging Department using VistA or any other means adopted and in use within VA, the Medical Center and the Imaging Department. The incumbent must be able to manage all the modalities schedules and to precisely communicate any changes, outcomes and/or any issues to the appropriate parties (patient, provider, coworker, or management) to ensure, and to minimize disruption of service.
Protects and preserves personal and confidential information of others to which access is granted in the normal discourse of duties and ensures subordinates do the same. Adheres to privacy and regulatory standards and requirements regarding the accountability and protection of patient information. Protects printed and electronic media containing sensitive data in accordance with the provisions of the Privacy Act of1974 and other applicable laws, federal regulations, VA statutes and policy, and VHS&RA policy. Protects data from unauthorized release or from loss, or wrongful alteration. Follows applicable HIPPA and all other actively observed regulations and instructions regarding access to computerized files and records. Knowledgeable in the usage of electronic devices, such as PCs, to accurately enter and retrieve data from any electronic system used by VA, such as VistA, to expertly and efficiently aid and support clinical personnel in their provision of patient care. Accurately files, retrieves, and maintains patient records and clinic files in accordance with established VA, Medical Center, and Imaging Department specific record-keeping regulations and procedures. The incumbent is responsible for the management of non-electronic patient records kept within the department.
The incumbent ensures the strict adherence to all policies, laws, regulations and Standard Operating Procedures that govern VA procedures as they apply to the duties of the position. Promotes effective and cohesive working relations and works effectively towards meeting the mission, vision, goals and objectives within the scope of the position. Actively participates in ongoing quality assurance projects within the scope of the position.
The incumbent directs the efforts of MSAs in preparing and delivering clerical/administrative reports, memoranda, minutes, and correspondence for the Imaging Department as required by management.
Completes all mandatory training required and ensures subordinates do the same. Completes all required safety training programs and can describe responsibilities related to general safety, program safety and specific job-related hazards and ensures subordinates do the same. Demonstrates proper body mechanics in all functions and concern for safety practices.
Plans work schedules to ensure smooth flow and even distribution of work, resolves scheduling and back-up coverage problems and is responsible for arranging vacation coverage.
Reviews new employee checklists and provides basic training in various computer systems including CPRS and Vista.
Performs other duties as assigned by Diagnostic Imaging Supervisor and or leadership.

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education.
Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;
OR,
Education. One year above high school;

Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
c. Physical Requirements: Must have the mental, emotional and physical ability to satisfactorily perform the duties of the proposed assignment and pass the requisite laboratory and other screening as required by Federal regulatory agencies and meet the physical demands as described below.

Grade Determinations: To qualify at this grade level, you must meet the following;
Experience: One year of experience equivalent to the GS-6 grade level.
GS-06 experience would include:
Coordination of Advanced MSA assignments and workflow found in an interdisciplinary unit.
Daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings.
Assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources.
Ensuring accurate and timely scheduling of appointments; providing guidance to staff members, to include changes in policies and procedures; creating and maintaining employee work schedules; and acting as a liaison among Advanced MSA staff, patients, and other interdisciplinary staff to resolve day-to-day conflicts.
Knowledge, Skills and Abilities GS-07: In addition, the candidate must demonstrate all of the following Knowledge, Skills and, Abilities (KSAs) on their Resume:
Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff.
Ability to provide staff development and training.
Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.
Preferred Experience:
Preferred experience of at least 3 years of Diagnostic Advanced MSA experience
Radiology scheduling experience of at least 2 years.

The full performance level of this vacancy is a GS 07. The actual grade at which an applicant may be selected for this vacancy is a GS 07.
