This position serves as the Executive Secretary to the Director for the Alexandria VA Health Care System (AVAHCS) providing executive level secretarial services support and coordination to the Director who controls the operations of the Alexandria main campus medical, surgical, behavioral health, community living center operations and community-based outpatient clinics (CBOC) located in Natchitoches, Fort Polk, Jennings, Lake Charles and Lafayette, Louisiana.
Duties
Duties include, but are not limited to:
Maintains confidentiality, disseminating accurate information, and responding accurately to inquiries, making appropriate referral in person and by telephone, referring matters of sufficient importance to the MCD or other appropriate individuals.
Reviews correspondence and documents prepared for signature of or requiring coordination by managers for conformance with regulations, grammar, format, and special policies of the organization.
Schedules appointments, coordinates meetings, and/or schedules conferences, exercises control over the appointments with complete authority for commitment of time.
Serves as a resource to Veterans, staff, family members, Veteran Service Organizations, Congressional offices, VISN, and VACO in all matters related to the MCD and the organization.
Screens calls and visitors to the Director's Office determining the identity and nature of the call/visit, establishes what must be directed to others and those that can be handled personally.
Reviews correspondence for technical and substantive compliance with management and departmental policies.
Ensures action items are completed timely and accurately, the Network utilizes action items for monitoring critical aspects of facility functions such as the budget, staffing, and access.
Schedules, prepares agendas, notifies members of their assignments and issues deadlines, and serves as the recorder for all meetings that the Medical Center Director assigns including Labor Management Forum, Joint Advisory Governance, HRO Steering Committee.
Consistently responds to Veterans, families, visitors, and coworkers' request for assistance promptly and in a friendly and cooperative manner, any deficiencies in this area are limited and minor and have no significant adverse impact on either organizational or individual productivity or efficiency.
Interacts daily with patients, visitors and staff by telephone, personal contact or through correspondence with the Medical Center Director office, resolves all issues or refers to the appropriate source for resolution if unable to resolve.
Serves as a resource for Veterans and hospital staff related to questions or requests for information.
Work Schedule: Monday - Friday, 8:00 a.m. - 4:30 p.m., subject to change based on the needs of the facility.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/16/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: reviewing publications, directives, and other materials that may affect the health care system and taking appropriate follow up action; preparing written materials in response to correspondence or telephone calls; providing customer service to the public and staff; operating computer systems and office software to input and retrieve data to include Microsoft Office products; experience performing fund control clerk functions; maintaining files, reports, suspensions and other documents in accordance with established procedures; providing other staff with information regarding directives, policies, reports, correspondence, and the use of general office equipment.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work. Hearing and distinct speech are essential due to the extensive use of the telephone as a means of communication to give instruction and receive information. Mental concentration to meet critical deadlines is essential.
