The Supervisory Medical Support Assistant (MSA) for Health Administration Service is located at the Southern Arizona VA Health Care System in Tucson, AZ. The Supervisory Medical Support Assistant (MSA) serves as the direct supervisor for Ancillary Scheduling Services and the Supplemental MSA Support Service.

Duties

The Supervisory Medical Support Assistant (MSA) serves as the direct supervisor for Ancillary Scheduling Services and the Supplemental MSA Support Service+. Personnel include one Lead MSA, four GS-5 MSAs under Ancillary Services, three GS-5 MSA and five GS-6 Advanced MSAs that support the Supplemental MSA Support Service+. Ancillary Service section provides scheduling support to Caregiver Support, Chaplain Services, Nutrition, Prosthetics and Social Workers. The Supplemental MSA Support Service section provides in person administrative and scheduling support requested from Primary Care as well as Specialty Care lines. The department provides scheduling support for pending appointment RTCs and consult orders when in person administrative/scheduling support is not requested. The Supervisory MSA position provides support and care for the treatment given to patients for each of these services. The Supervisory MSA provides administrative and clerical assistance, guidance, and support to the professional staff, manage the day-to-day activity of personnel, and maintain proficiency in all appointment scheduling and consult functions. This position performs a variety of support duties that facilitates the work of physicians, physician assistants, nurses, nursing assistants, and other members of the medical facility who provide patient care. The Incumbent identifies relevant organizational goals and performance objectives to create a successful team. The Supervisory MSA provides data for measures used to define successful outcomes or results. Identifies system barriers and displays capabilities to resolve problems. The incumbent has a working knowledge of the Patient Aligned are Team (PACT) and the Specialty Care clinics and communicates between departments for work requests. The work requires a practical knowledge of computerized data entry and information processing systems, the medical facilities' organization and services, basic rules and regulations governing visitors and patient treatment, and a practical knowledge of standard procedures, medical records, and medical terminology. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience: Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR Education: One year above high school; OR Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Grade Determinations GS-08: In addition to the basic requirements for employment listed above, the following education and experience criteria must be met: One year of experience equivalent to the GS-07 grade level (leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting). Your resume should sufficiently demonstrate the following Knowledge, Skills, and Abilities: Ability to provide the full range of administrative and supervisory duties [to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training [in a patient support setting]. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. Physical Requirements: Moderate lifting, 15-44 pounds, moderate carrying, 15-44 pounds, pushing 1-2 hours, reaching above shoulder, use of fingers, standing 1-2 hours, good distant vision in one eye and ability to read without strain, printed material the size of typewritten fonts, glasses can be used. Ability to hear the whispered voice with or without hearing aid. Emotional and mental stability.
