The Richard L. Roudebush VA Medical Center is recruiting for an Advanced Medical Support Assistant (AMSA) in PCS Operations. The AMSA independently performs a full range of duties related to delivering administrative healthcare services assigned to in-patient wards (med/surg, step down, and ICU). AMSA assignments include but are not limited to the admissions, discharging, and transfer of those patients admitted for critical or acute care.
Duties
Advanced Medical Support Assistant will be responsible for training and obtaining material needed to train personnel hired as Medical Support Assistants. Incumbent's responsibility for training includes, but is not limited to, inservice education of on-the-job skills, following proper contingency plan, and nurse call system.
Incumbent is responsible for participating in development of training for med/surg wards and units as well as specialty areas including, but not limited to: Decedent Affairs, Polytrauma Rehab, Palliative Care, and Acute Psychiatry.
Incumbent will also be responsible for training auxiliary personnel, such as temporary, work study, and volunteers used for intermittent heavy workload areas.
Incumbent will assist the lead/supervisors during meetings with all Medical Support Assistants to relay instructions on changes and new procedures affecting ward clerical activities. Incumbent will evaluate new procedures and, if implemented, will provide a follow-up assessment to the supervisor, and will assist the supervisor in evaluating the stages of new employee training as they progress during hands on training. The incumbent will be instrumental in determining whether training is adequate in reporting assessment to the supervisor.
Incumbent must have knowledge of medical terminology and broad knowledge of ward procedures to participate in studies to categorize and assess problem areas. He/she must be able to identify each section of the medical record and be familiar with accreditation standards, regulations and their application to ensure proper completion.
In addition to performing the above functions as Advanced Medical Support Assistant, the incumbent will also function as a Medical Support Assistant. Those duties, upon reception and discharge of patients, includes assembling records in correct sequential and chronological order, ensuring required forms are complete and signed by professional staff, notifying various departments of the action, making necessary arrangements for transfer of patient treatment records, including making sure that hospitalization summary and operative reports are complete, accurate, and properly filed before forwarding the Medical Records.
Incumbent interprets a variety of physician's orders involving patient activities, diets and tests. Process orders on a timely basis to the appropriate source and routes them to the appropriate department(s) for action.
Refers telephone and computer messages pertaining laboratory reports, x-rays, test results, etc., to appropriate charge or head nurse for immediate action. Files the results of various tests in patient charts for professional staffs reference, keeping record of care current and accurate.
Arranges appointments for patients with clients, services and consultants; coordinates appointments for timeliness and to avoid conflicts in patient treatment and to meet the schedule of clinic or service to which referred. Initiates forms for authorization to perform surgery and other procedures, checks records to determine whether patient is competent, of legal age, and authorized to sign. If the patient is incompetent or otherwise not permitted to sign, initiates action to obtain permission from next-of-kin. Requests transportation for patients receiving treatment within or outside the immediate facility.
Incumbent is responsible for ensure adequate coverage on the inpatient wards. This is very important during times of annual and/or unexpected leave. The advanced Medical Support Assistant must communicate with nursing staff to ensure coverage is provided where needed. The supervisor must be kept informed as to coverage/lack of coverage and resulting concerns.
Incumbent uses VistA/CPRS to abstract a variety of information as well as inputting updated information.
Incumbent will possess knowledge of outpatient application procedures as well as unit procedures for assembling patient's charts, interpreting physician orders, integrating diagnostic reports, making appointments, and charting medical data appropriately.
Incumbent uses the Vista, CPRS, RMS system in the daily performance of duties, the software includes scheduling, lab, x-ray, outputs, entering and editing of patient data, and other functions vital in the administrative processing of veterans.
Work Schedule: Full-Time,
Monday - Friday, Day Shift 7:30am - 4:00pm with rotating weekends and holidays.
Evening Shift 3:30pm - 12am with rotating weekends and holidays.

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education.
Experience: Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,
Education: One year above high school; OR,
Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Grade Determinations: Experience: One year of experience equivalent to the GS-5 grade level or equivalent patient administrative support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.
Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below:
i. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
ii. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
iii. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
iv. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.
v. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.vi. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
