The VA Northeast Ohio Healthcare System is recruiting for a Program Assistant. The Program Assistant will function in Pain Medicine Service.
Duties
The Pain Medicine Service specializes in treating a diverse range of complex chronic and acute pain conditions in our veteran patients. In this position, the individual will offer guidance and support to the Pain Medicine Service in the realms of office management, data analysis, and technical assistance. They will coordinate, integrate, and monitor administrative services to ensure they positively impact patient care. This includes facilitating administrative coordination of care with other services such as Pain Psychology, Medical and Surgical Specialties.
The person in this role will also be responsible for developing, maintaining, and reviewing methods, records, and techniques for collecting service-related data. This includes extracting, compiling, analyzing, organizing, and reporting statistical information. The incumbent will also plan and organize their work, handling a wide range of administrative tasks and providing administrative and analytical assistance to various sections within the Pain Medicine Service. This work will be carried out under the guidance and supervision of the Administrative Officer to fulfill the administrative requirements of the Service.
The duties associated with this role also necessitate close collaboration with other Medical Center patient care services, the Director's Office, Office of the Chief of Staff, Patient Care Administrative Service (PCAS), Human Resources, Material Management, Fiscal, Facilities Management, Information Technology, and other support services. The primary responsibilities of the incumbent encompass administrative management support, data analysis, monitoring and reporting, as well as procurement and technical support.
Examples of responsibilities include but not limited to the following areas:
Administrative Assistance
- Maintain Service Standard Operating Procedures/Policies
- Administrative support at weekly/monthly meetings, i.e., Grand Rounds
- Manage various reports, workload reports, and delinquent reports
- Draft memorandums for Service requests
Office Support
- Receive/distribute all correspondence on behalf of Service
- Monitor incoming/outgoing phone calls
- Maintain mail distribution
- Maintain office supply requests, 2237's requests
- Customer Service to all staff, patients, family members and external partners
- Manage Service contact sheets
Personnel Support
- Timekeeping Administration (VATAS)
- TMS duties and organizing as assigned
- New Employee and Service Specific Orientation (EPAS)
- Travel point-of-contact
- Track Service compliance with BLS and ACLS requirements
Work Schedule: Full Time, Monday - Friday; 8:00 a.m. - 4:30 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/20/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06 grade. The grade may have been in any occupation but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support, operating a personal computer, using a computer to process and analyze data, sorting and processing incoming correspondence, coordinating with others between various units and offices to accomplish work-related projects, analyzing work flow to determine potential problem areas and making recommendations to correct, proofreading documents for grammatical errors, assisting managers in evaluations of operating program characteristics, analyzing and interpreting routine information.

Physical Requirements: The work is primarily sedentary however may involve periods of walking and stair climbing, bending, stooping, or standing to observe work operations, carrying light weight office equipment and supplies, and traveling to partner affiliates. Computer and IT as well as phone system use required on daily basis.
