This position is located in the Business Office/Health Administration Service (BOHAS) under direct supervision of the Assistant Chief. The primary purpose of this position is to provide information and technical support for the BOHAS administrative operations. The duties require a wide range of knowledge, skill, and resourcefulness and requires extensive coordination among multiple individuals of various backgrounds, and at various sites within the Wilkes-Barre VA Medical Center.
Duties
MAJOR DUTIES & RESPONSIBILITIES
PROGRAM SUPPORT 50%
-Receives and responds to a number of specialty and unclear inquiries from patients, family, caregivers and staff concerning a variety of medical, personnel, and administrative matters.
-Maintains ongoing dialog with service lines and staff from supporting services at WBVAMC internal and external to the agency and keeps them apprised of problems as they arise and works to resolve and correct problems related to the BOHAS Service and other administrative duties.
-Establishes priorities and deadlines for independent workload, adjusting the flow and sequencing of the work to meet facility timelines, while providing input in problem solving on operational issues or procedures in meetings and independently following up on BOHAS service actions.
-Develops, conducts, and analyzes survey data with the BOHAS Program Leaders to assure compliance with Quality & Patient Safety goals of the facility. Reports and analysis are prepared as required.
-Coordinates communication between the BOHAS Service, ELT member, and Compliance Officer as it relates to the approved BOHAS Compliance standards. This includes all mandated reports as well as reports of major and minor changes in the BOHAS program.
-Serves as a liaison with the HR Department and assigned ELT member regarding all administrative personnel matters. Serves as Liaison between the BOHAS Program Leaders and staff and other services. Serves as liaison between all services who require assistance with BOHAS Service.
-Responsible for orienting supervisors regarding office procedures and polices. Also prepares various correspondences for review by BOHAS Program Leaders.
-Collects data, provide analysis and prepares routine reports as required by the BOHAS Program Leaders. This includes BOHAS contract/supplies using VISTA based software and making recommendations to staff on resource utilization.
ADMINISTRATIVE SUPPORT 50%
-Provides guidance to the clerical personnel in the BOHAS Service. Incumbent is responsible for periodically reviewing clerical workload. Determines correct format of typed materials to determine if it is acceptable in accordance with VA published standards. Incumbent is responsible of distribution.
-Responsible for knowledge of requirements mandated but not limited to, VHA Standards and Joint Commission Standards.
-Responsible for the retention of correspondence of a general nature according to policy
-Responsible for maintaining the Equipment Inventory List and key inventory within the BOHAS Service. Will assure all inventories are completed accurately and all appropriate paperwork is provided in a timely manner in order to assure accurate accountability for fiscal compliance. Places equipment and supply orders as needed.
-Serves as Back-up TMS coordinator for the BOHAS Service and assure all training requirements are met by the appropriate staff.
-Receives calls from all divisions of WBVAMC, VISN 4, VACO, VSO's, veterans, and veterans' families regarding any activities of the BOHAS Service
-Performs other related duties as assigned.

Qualifications
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Preparing, receiving, reviewing, and verifying documents for completeness and accuracy. - Maintaining office files and records using established policies. Collecting, compiling, and/or tracking data and statistical information for administrative and management reports. Using software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database, and/or graphics. Making recommendations to improve or modify methods for disseminating information to intended audiences.
