This position is located at the Huntsville Community Based Outpatient Clinic and reports to the Chief Medical Officer (CMO) in the Birmingham VA Health Care System. The incumbent ensures that the different and varied administrative support functions for which they are responsible are handled in a manner to enhance the efficiency CBOC.

Duties

This position will serve as the administrative liaison providing administrative and technical support to the CMO and the Clinic Manager. A qualified typist with strong background in multiple Microsoft Office Applications is required. Major duties include: Assists staff with official travel documents and serves as the coordinator for Government Vehicles. Serves as a timekeeper for the department. Maintains inventory of office supplies for the department. Generates and submit forms, memorandums and system requests for recruitment and for the maintenance and creation of competency folders for all department employees. Maintain government issued purchase card and orders needed supplies, maintaining inventory.. Attends meetings and conferences, records information presented taking notes and publishing accurate minutes. Serves as expert using Microsoft Word, Excel and other Office applications and is able to integrate several types of software to generate working documents and forms and track information for reports. Expertly manages and coordinates calendars, meetings, and conferences. Prepares and maintains service department file plan and prepares delegation of authority memo for the service. Serves as secretary and personal assistant providing a wide range of staff assistance to the Managers and Supervisors within the service. Serves as the liaison for the service and communicates effectively both verbally in writing. Prepares well-written correspondence following policy and guidelines. Demonstrates expertise in written communication by accurately proof reading and correcting errors in reports and correspondence. Work Schedule: Monday - Friday, 8:00 AM to 4:30 PM Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/15/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Maintain knowledge of the duties, priorities, commitments, policies, and program goals of the staff sufficient to perform non-routine assignments, Independently noting and following-up on commitments made at meetings and conferences by staff members; shifting clerical staff in subordinate offices to take care of fluctuating workloads. Utilize initiative in carrying out the recurring work of the office independently, referring only problems and unfamiliar situations not covered by instructions to the supervisor for help. Possess technical skills required to use and maintain a variety of office equipment such as personal computers, printer, facsimile, copier, and multi-line phone, Type 40wpm You will be rated on the following Competencies for this position: Attention to Detail Clerical Communications Technical Competence Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primary sedentary involving some stooping , reaching, lifting of light items , and walking. Considerable time is spent sitting utilizing a computer for typing / word processing.
