About the Position: This is an Administrative Support Assistant position with the U.S. Army Corps of Engineers, Northwestern Division (NWD), Omaha District, Construction Division.

Duties

Plans work and establishes schedules to meet priorities and suspense dates. Provides guidance to ensure all administrative priorities are met. Has a practical knowledge of the organization and makes decisions based on required guidelines, numerous and complex procedures, and regulations. Analyzes and evaluates the latest policies and regulations, in regards to administration, and determines the proper dissemination/application. Backup for maintaining property book records and conducts physical inventory as required. Updates organizational chart and routes to the Resource Management and Executive Offices as necessary. Receives visitors and phone calls, personally provides information requested or directs to staff members those contacts that require attention or action; maintains correspondence, travel related files as prescribed by regulation. Maintains personnel files keeping them updated with current personnel action, training and appraisals. Compile and distribute staff notes to other Division offices/personnel. Maintains accurate time and attendance (T and A) records and accurately inputs the data into the automated processing system in a timely fashion. Maintains and applies detailed knowledge of time and attendance regulations. Ensures all direct and indirect charge labor codes are properly applied and do not exceed the allotted amount at the time of recording. Coordinates with service center representatives and field offices to assure entire Division T and A is recorded and certified by given deadlines.

Qualifications

Position may be filled as a term appointment NTE (3 years), may be extended up to the maximum of 8 years. If a permanent federal employee applies and is selected, the employee will forfeit their permanent status and becomes subject to the provisions of the term appointment. Permanent Army employees who accept a time limited appointment will not have placement rights to the previously held permanent position at the end of the time limited appointment. Who May Apply: US Citizens In order to qualify, you must meet the education or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. Additional information about transcripts is in this document. Proficiency Required:This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors. Specialized Experience for GS-05: One year of specialized experience which includes: 1) Drafting correspondence such as memorandums, emails, or administrative reports; AND 2) Using Microsoft Office (e.g. Word, Excel, and Outlook) to create items such as letters, memorandums, spreadsheets, or emails. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04). OR Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60.
