The Program and Management Assistant provides administrative support to the National Director of Anesthesia, Chief of A&PMS, Section Chief of Research, Section Chief of Education, and the Administrative Officer (AO). The position serve with minimal supervision in the capacity of a Program and Management Assistant; as a coordinator, advisor, analyst, and planner for the delivery of health care services for the National Anesthesia Director, A&PMS and the Health Care System (HCS).
Duties
Duties included but not limited to the following:
- Serve as primary timekeeper for all A&PMS, inputs leave, overtime and on call time into VATAS, publishes schedule to interact, sharepoint, and keep hard copies file of completed SF-71 for all vacation requests.
- Assist with the Residency Program Coordinator for A&PMS, by coordinating with VANTHCS HR Management Services and affiliate Medical school to in-process fellows, residents, interns and medical students that provide care through A&PMS.
- Incumbent handles all Contact Physician time sheets for the UTSW Cardiac & Critical Care monthly. Keeps a monthly attendance log on incoming residents for their monthly attendance.
- Collect data and prepares reports for service level performance measures for the Surgical Care Improvement Project.
- Generate and reviews a variety of operating room information from both the manual and automated databases utilized by APMS, verifying the relevancy, adequacy, accuracy, and completeness of the information.
- Prepare a series of monthly, quarterly, and annual reports reflecting the activities of the service, by searching VISTA databases using various Vista report programs.
- Develop and prepare a variety of correspondence and other documentation, i.e., formal letters, papers, reports, studies, briefings, charts, etc.
- Manage the implementation and coordination of processes within the service related to their efficient operation, data validation, electronic documentation within the medical record and training related to the correct utilization of clinical patient care software programs.
- Validate patient data entered by anesthesia provides against the patient data in CPRSNISTA entered by the Nursing Service for same surgery case.
- Implement and update the Anesthesiology & Pain Management Intranet website and Cascade listing for the department.
- PIV sponsor, the incumbent insures that the applicants supporting materials are appropriate and complete.
- Implement and update the Anesthesiology & Pain Management Intranet website and Cascade listing for the department.
- Work with TMS admin for the educational courses, register APMS employees for courses, input education data into TMS programming for the faculty CME credits, ACLS training, and annual TMS training reports indicating attendance and compliance mandated training.
- Handle all Non-OR procedure requests for the clinical coordinator to use in developing the assignment of providers to anesthesia cases conducted outside of the Operating Room setting.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/10/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06 position. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your specialized experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Utilizing automated systems as such as VATAS, SharePoint, to analyze data. Ability to perform monthly, quarterly, and annual reports using VISTA databases. The work requires the application of word processing, capturing information in electronic spreadsheet format. Knowledge of the TMS database inputting all education into TMS programming for the faculty CME credits. Reviews all request for computer menus and security keys and compares them to the employees position descriptions to determine if access is necessary to fulfill assigned duties. Using various Microsoft Office programs, database programs and office equipment. Reviews correspondence and/or reports for accuracy, proper formatting, grammar, spelling, and punctuation. Utilize excellent Verbal and written communication skills. Assisting in departmental problem solving and planning alternative solutions.

Physical Requirements: Multiple responsibilities of the position impose active physical demands, to include walking, reaching, stooping, bending, and standing for lengthy periods. Incumbent must be able to cope with stressful situation to include prioritizing multiple conflicting priorities.
