This Program Management Position will serve as Academic Program Coordinator (APC) to the Mental Health Product Line (MHPL). The MHPL is complex consisting of multiple types of mental health activities, including inpatient, outpatient, clinical and research functions at multiple sites at Frank TejedaMental Health Outpatient Clinic (OPC), Kerrville Division, Victoria OPC, South Bexar OPC, North Central Federal Clinic, Shavano Park OPC, Balcony Heights OPC and a 66 bed Domiciliary.

Duties

Incumbent is responsible for assisting the Training Directors in managing the daily academic support services for the programs. Has broad oversight of the administrative resources of the MHPL training programs. Provides support and meets regularly with the Training Directors concerning office management issues and activities and the status of projects. Identifies and evaluates the methods for improving workflow and cost effectiveness and makes recommendations to the Training Directors for improvement. APC may assist in program level-policy development. Interprets and applies accrediting requirements for the American Psychological Association, Association of Psychology Postdoctoral and Internship Centers, Commission on Accreditation, Office of Academic Affiliations, Association of Postdoctoral Program in Clinical Neuropsychology and the Accreditation Council for Graduate Medical Education (ACGME) and any other agencies along with STVHCS policies to support compliance. Assist Training Directors with preparation for APA, CoA and ACGME program reviews and any other agency reviews or site visits. Plans and organizes departmental annual events including national and local recruitment, new trainee orientation, graduation preparations, faculty retreats and trainings, as well as various meetings and program-related events. Oversees processes during the Internship and Residency recruitment season. Receives inquiries from trainees and applicants and triages them as necessary to others within the department or in other departments. Organizes meetings and prepares and distributes materials for conferences and lectures. Develops brochures, invitations or advertisements for events/lectures and creates and/or maintains external program advertising/media through websites, brochures, postcards, publications and other such media. Creates/edits annual publications regarding the program. Maintains program's website or SharePoint. Provides both administrative supervision and support to practicum students, interns, residents and fellows. Acts as a representative between residents and hospital administration when necessary. Establishes relationships and acts as a liaison to other hospitals, internal departments, and divisionsregarding resident recruitment, orientation, annual program affiliation agreements and internal and external rotations. Informs residents and trainees of inter and intradepartmental policy and procedure changes. Tracks, reports and ensures compliance with procedures regarding licensing, initial and re-credentialing of trainees. Manages materials for specialty-specific trainee exams. Manages the evaluative processes of the trainees, program, faculty and rotations. Coordinates trainee rotations as appropriate. Assists in monitoring residents' duty hours. Verifies trainees' status and activities as needed. Develops, implements and oversees the maintenance of filing, record keeping, distribution of materials and other types of office/program systems in accordance with RCS 10-1. Evaluates and standardizes office procedures and effectively trouble shoots and resolves issues. Track post-graduate survey results for the program, with summary data tables and information as needed. Performs other duties as assigned by the Training Director. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/13/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: a comprehensive and detailed understanding of national accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment. Ability to develop, plan, implement and evaluate programs. Expert knowledge of accrediting requirements for the American Psychological Association, Association of Postdoctoral Program in Clinical Neuropsychology and Accreditation Council for Graduate Medical Education (ACGME), and ability to gain expert knowledge regarding other trainee programs. Ability to work independently. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. You will be rated on the following Competencies for this position: Database Administration Decision Making Administration and Management Information Management Knowledge Management Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will be rated on the following Competencies for this position: Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
