The Supervisory Medical Support Assistant (MSA) for Medicine Specialty Care and Medicine Call Center is located at the Southern Arizona VA Health Care System in Tucson, AZ. The Supervisory Medical Support Assistant (MSA) serves as the direct supervisor for all AMSA's in support of Medicine Services.

Duties

Duties include but are not limited to: Responsible for planning, directing and supervising MSA's activities. Extracts and analyzes data in order to provide reports in support of performance measures to senior management.· Monitors the pending orders list. Verifies the completion and accuracy or patient demographics and insurance information. Runs reports on the Audiocare system, incomplete encounter reports, daily workload and consults reports, provider productivity workload report and all Surgical Service reports. Assists with clinic access contingency plans by adjusting provider schedules and patient appointments, avoiding staffing conflicts. Ensures that MSA's are fully trained in CPRS documentation and telephone courtesy. Participates in Service Line team meetings and schedules MSA's to attend scheduled huddles and team meetings Work Schedule: 8:00am - 4:30pm, Monday through Friday Telework: Not Available Virtual: This is not a virtual position. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience: Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR Education: One year above high school; OR Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Grade Determinations GS-08: In addition to the basic requirements for employment listed above, the following education and experience criteria must be met: One year of experience equivalent to the GS-07 grade level (leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting). Your resume should sufficiently demonstrate the following Knowledge, Skills, and Abilities: Ability to provide the full range of administrative and supervisory duties [to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training [in a patient support setting]. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. Physical Requirements: Moderate lifting, 15-44 pounds, moderate carrying, 15-44 pounds, pushing 1-2 hours, reaching above shoulder, use of fingers, standing 1-2 hours, good distant vision in one eye and ability to read without strain, printed material the size of typewritten fonts, glasses can be used. Ability to hear the whispered voice with or without hearing aid. Emotional and mental stability.
