The incumbent provides assistance to the Associate Chief of Staff, Mental Health, (ACOS, MH) who directs multiple divisions throughout the State of Alaska. The incumbent also performs duties to assist multiple department Chiefs by performing general and increasingly complex office work in support to the work of the organization.
Duties
Duties include but are not limited to:
Provides advice and guidance to staff on clerical and administrative matters and provides administrative support to the service.
Independently collects all needed documents for recruitment packages and works with Administrative Officer to ensure it is correctly submitted to all HR systems.
Prepares correspondence, reports, minutes, and records for final drafting, ensuring correct editing and formatting.
The incumbent will attend meetings, take notes, complete minutes, and distribute for feedback and revision.
The incumbent provides program support to the ACOS, MH, all outpatient Service line Chiefs, Internship Training Programs, and Psychology Internship Training Committee activities to include planning, logistics, and administration of all activities.
Ensures appropriate rooms and equipment are reserved for meetings, conferences and lectures.
Coordinates leave schedules and serves as a timekeeper for Social and Behavioral Service staff.
Independently coordinates IT, A/V (projectors, smart boards), and communications (phone, teleconference, videoconferencing) for Service events, ensuring proper setups and troubleshooting problems encountered in collaboration with supporting services.
Receives and directs in person, by email, and by telephone, contacts from visitors including social work and psychology graduate practicum students, psychology interns, and program applicants. Receives clientele in Mental Health Service as needed.
Work Schedule: Monday - Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/20/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: scheduling, coordinate meetings; develop and implement tracking systems; prepare reports and correspondence; monitors tasks and meets deadlines; time keeper to all staff.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required such as warehouse or office supply inventory and carrying/moving of basic equipment and other materials.
