The Secretary (OA) is assigned to Social Work Service (SWS) at the West Palm Beach VA Medical Center and reports directly to the Chief of the service.
Duties
As Secretary (OA), you will be responsible for a broad range of administrative and clerical duties associated with direct patient care in Social Work Service and has secretarial assignments associated with the Chief, Social Work Service, the OEF/OIF Program, and various Social Work Programs. Major duties include but are not limited to:
Creates, manages, and maintains an electronic calendar for the Chief, scheduling appointments as needed.
Arranges for conference calls among WPB VAMC and other VA stations.
Prepares travel documentation for staff.
Independently coordinates and assigns specific tasks to volunteers.
Types a variety of correspondence, requiring knowledge of numerous formats, including the minutes of regularly scheduled committee meetings, patient care procedures, practice guidelines, patient education handouts, lectures, tests, program pamphlets, and memoranda.
Creates and formats reports, charts, strength report, seniority list, licensure list and spreadsheets as needed. Prepares various weekly, monthly, quarterly, and annual reports using Microsoft Office software.
Serves as control point clerk for social work funds.
Inputs and tracks time and attendance into VistA and maintains attendance records for Social Work Service.
Tracks and maintains training records for all staff in Social Work Service.
Sets up and maintains complete and accurate filing system of administrative correspondence, VA manuals, technical bulletins, resource material, and general material used within the Service.
Screens initial calls/contacts from patients to the to determine the nature of the calls and, when appropriate refers patients to social workers and other resources for resolution.
Review original state social work professional licenses and/or national certifications to certify the authenticity of the documents. Reminds staff when professional licenses are nearing expiration.
Performs other related duties as assigned.
Work Schedule: Monday-Friday, 7:00AM-3:30PM
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/13/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-6 position you must have served 52 weeks at the GS-5.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience, you must be able to type at least 40 words per minute.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing secretarial and administrative support in a medical, surgical, or hospital setting; Composing correspondence and reports, preparing them in final format using a variety of computer software applications (i.e., Excel, Outlook, Access, PowerPoint etc.); Receiving incoming communications and visitors; Scheduling appointments; Coordinating meetings and/or conferences; Maintaining calendars and schedules for staff; Making purchase orders, Performing timekeeping duties.

Physical Requirements: Most of the work is performed at a desk with telephone, computer, filing cabinets and transcription equipment. Some movement to other parts of the Medical Center is required. Moderate bending, stooping and walking is required.
Work requires regular and recurring physical exertion maintaining a seating position in conference area for meetings or at a computer workstation/desk for conducting administrative work. Entering data via keyboard and writing notes manually is also expected. Requires some walking, standing bending, and the carrying of light items such as books and papers.
