The Tuscaloosa VA Health Care System is actively recruiting for one (1) Supervisory Medical Support Assistant within Community Care Services.

Duties

Duties to include but not limited to: Assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of community care referrals; Providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work assignments/schedules; orienting and providing on-the-job training for new and current employees; Ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between AMSA and staff in order to resolve day to day conflicts. Responsible for initiating and carrying out a variety of administrative and technical duties in support of community care referral management. Provides administrative coordination of patient care, appointments, and logistical factors associated with direct patient care, inpatient and outpatient, related to the coordination of care between the VAHC and outside facilities, both VA and Non-VA. Uses a broad working knowledge of all medical center programs and services and of the varying priorities and complexities of outside care for specialty services. Typing, filing, data entry, scheduling appointments and tests, ensuring transfer of medical records from and to the VAHC and other facilities, ordering office supplies and necessary forms, scheduling patients' appointments and/or consults, tracking patients' appointment status in the community and maintaining spreadsheets to validate data tracking, making follow-up (post-care) calls on a daily basis, completing electronic for for cost estimate/payment of community medical care by the VA; Consistently verifying and updating demographics and insurance information; researching and maintaining an updated database of community medical services to assist Veterans with locating medical care in the community; Assisting with processing all emergent and non- emergent consults for medical care in the community. Performing administrative follow-up actions; independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care; educating providers about shared patients (those who receive their care at multip1e VAs or those who have care in the community) and bringing to the attention of the provider. Performs daily duties that are integral to the success of the facility's multidisciplinary medical team establishing this incumbent as a key contact for Veterans, Veterans' families, and community providers for specialty care, providing information and assistance and acting upon multifaceted administrative matters in the Veterans' and other stakeholders' interest. Directly accountable, and has the knowledge, skills, and ability to serve as an autonomous extension, to the Supervisor of the Department of Community Care. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Experience and Education: (1) Experience. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or (2) Education. One year above high school; or (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Part-Time Experience: Part-time experience as a MSA is creditable according to its relationship to the full-time work week. For example, a MSA employed 20 hours a week, or on a 1/2-time basis, would receive 1 full-time work week of credit for each 2 weeks of service. In addition to the Basic Requirements, the following criteria must be met for the GS-07 grade level. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: In addition to the basic requirements above, you must have the specialized experience listed below. Supervisory Medical Support Assistant, GS-7 (a) Experience. One year of experience equivalent to the GS-6 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting. (b) Assignment. Supervisory MSAs plan and direct programs at medical centers and/or satellite outpatient clinics and have full supervisory responsibility. Assignments at this level include but are not limited to: assigning and evaluating the work of subordinate MSA staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems to make recommendations for improved clinic operations; identifying educational or training needs; making final decisions on hiring selections; evaluating performance, and taking disciplinary action when necessary. The employee has full administrative and professional responsibility for planning and directing the MSA's activities. For all assignments above the full performance level, the higher-level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time. Demonstrated Knowledge, Skills, and Abilities Candidates must demonstrate the KSAs below: Ability to provide the full range of administrative and supervisory duties in a patient support setting, which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training related to administrative functions in a patient support setting. Ability to delegate authority, evaluate and oversee people and programs, accomplish program goals, and adapt to changing priorities.
