This Lead Medical Support Assistant position is in Community Care services at the White River Junction VA Medical Center, located at the White River Junction, Vermont location. This position is a full-time at 40 per week.

Duties

The Lead (MSA) is responsible for providing guidance and leadership to the other MSA as well as ensuring assistance to Veterans providing a smooth process for the management of his/her outpatient appointments as well as support work in connection with the care and treatment given to the Veterans by performing a variety of support duties that facilitate the work. The Lead MSA will spend 75% of their time on the "floor" handling administrative tasks directly related to the Service Line and 25% of their time will be spent monitoring, coaching and other administrative duties. The Lead MSA will be given direction and guidance by the Office of Community Care Manager. Duties may include, but are not limited to: Practical knowledge of computerized data entry and information processing systems Ensures the database integrity by monitoring for accuracy and completeness Creating and maintaining staff work schedules and coverage Orienting and providing on-the-job training for new and current staff, ensuring all training requirements are met Experience with medical facility's organization and services, rules and regulations governing eligibility and treatment Practical knowledge of the standard procedures, medical records, medical terminology, security of sensitive electronic files, process improvement, gives guidance and initiates action as appropriate. Work Schedule: Monday - Friday 8:00 a.m. - 4:30 p.m. Compressed/Flexible: May be authorized. The SF-50 must identify the position title, series, grade, step, tenure and type of service (Competitive or Excepted). This position is covered by locality-based comparability pay.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/17/2023. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Preferred Experience: One year of experience equivalent to the next lower grade level (GS 6). Grade Determinations: GS-7 Lead MSA Assignment: The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Assignments at this level include, but are not limited to: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff in order to resolve day to day conflicts. For all assignments above the full performance level, the higher level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time. Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below: Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. Skill in communicating with individuals in order to obtain the desired effect, ensuring compliance with established policies and regulations. Ability to provide staff development and training. Ability to manage staffing requirements, manage priorities, and coordinate work in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work. Ability to review and monitor data to ensure all reports are complete and accurate. References: VA HANDBOOK 5005/53, PART II, APPENDIX G45 Physical Requirements: The majority of work is performed in an office setting, primarily while seated. The position requires some standing, ambulation, bending and carrying of items such as training manuals. In addition, there can be increased stress due to the intensity of a patient/customer complaint or concern. Work Environment: The work environment involves the normal risks and stresses typical in an office environment which supports an extremely busy clinical service with various professional staff.
