The incumbent provides administrative support to the Pharmacy Service, Pharmacy Service Chief, multiple Associate Chief, Program Managers, and staff of over 150 employees. Performs under the supervision of the Administrative Officer in the Office of Pharmacy Service. This position requires the ability to work independently in completing most assignments with little direction.

Duties

Major Duties: Administrative Support: Utilizes various word processing, computerized spreadsheets and graphic programs to prepare reports and necessary documents. A qualified typist is required, must type at least 40 words per minute. Extensive knowledge and experience with Microsoft Office is required. Performs the following types of duties: Manages and/or prepares responses to a variety of correspondence from within and outside the agency; edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines and develops standard or form letters and replies to inquiries such as: congressional offices, high ranking officials in the field or industry, and/or leading representatives of other agencies. Responsible for maintaining emergency contact info for all employees as well as the emergency cascade for the pharmacy service. Coordinates meetings, reserves meeting location, sends out reminders, records and types meeting minutes for approval if appropriate. Maintains and assures timely review of Pharmacy Service Standard Operating Procedures, as well as Pharmacy Station Memoranda and Bulletins. Assists in the completion and/or processing of credentialing, license, proficiency documentation, and peer review actions for Quality Assurance evaluation required by re-privileging board for supported providers. Ensures documents are reviewed and approved/signed in a timely manner. Timekeeper The incumbent processes and maintains electronic timecards for Pharmacy Service employees, which includes Fee Basis Pharmacists, Residents, VALOR, and full-time GS employees, as well as inform these employees of timekeeping procedures and regulations regarding tours of duty, leave, authorized absence and travel requests as the need arises. Records Management The incumbent is responsible for the services records management. This includes completing the annual training in TMS. Responsible to archiving the Services' records and if needed retrieval of records stored in off-site storage facilities (Iron Mountain, Records Center and Vault, Federal Records Centers). Equipment Management Monitors Service CMR Equipment Inventory List (EIL). Conducts as required a physical inventory of the EIL. Responsible for entering and monitoring non-medical equipment. Prepares documentation for turn-in of excess and survey equipment using required forms. Serves as Service's Contracting Official Representative (COR). Work Orders Incumbent will enter work orders for Pharmacy Service including, but not limited to the computer, telephone, engineering and keys to support the clinical and administrative staff as needed. The incumbent also performs a very diverse and considerable number of administrative support duties as assigned including but not limited to reprinting prescriptions labels. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/07/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Manages and/or prepares responses to a variety of correspondence from within and outside the agency; edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines and develops standard or form letters and replies to inquiries such as: congressional offices, high ranking officials in the field or industry, and/or leading representatives of other agencies. You will be rated on the following Competencies for this position: Administration and ManagementCommunicationsComputer SkillsCustomer Service (Clerical/Technical) Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
