The Memphis VA Medical Center is recruiting for a highly qualified Secretary (OA) to perform executive level administrative and clerical duties in support of the Associate Director. Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATEWITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION***The major duties and responsibilities include but are not limited to: Acts as Office Manager for the Associate Medical Center Director and ensures that the practices and procedures used by secretaries and program areas are consistent with those of the Executive Office. Responds to inquiries and administrative problems brought to the Directors/Associates, Director's Office by member of the staff, network employees, officials of VA Central Office (VACO), state and local governments, other hospitals and organizations, other Federal Agencies, and Congressional staffs. Reads all incoming correspondence to ensure appropriate destination and follows up on correspondence sent service chiefs for reply. Screens all correspondence prepared for the Director's signature for clarity, completeness of reply, and grammatical and procedural correctness and returns inadequate submissions for retyping or re composition. Attends and records the minutes of meetings which are later summarized and distributed. Prepares meetings, composes replies for the Associate Director's signature to routine correspondence not requiring a policy determination. Uses word processing and printing equipment to create, copy, edit, store, retrieve and print a variety of documents. Work Schedule: 8:00am to 4:30pm. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/08/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience GS-08: You must have one year of specialized experience equivalent to at least the next lower grade GS-07, for a GS-08. Examples of specialized experience would typically include but are not limited to: Knowledge of the substantive programs of the Medical Center as they relate to the clerical and administrative support functions of clinical services and programs to perform independently assembling information to be used for reports or responses to inquiries, composing correspondence not requiring technical knowledge, and to independently note and follow up on action items made in meetings by staff members. Knowledge of the duties, priorities, commitments, and program goals of the ADPCS's office in order to advise administrative support staff on preparing correspondence, identifying requirements of various reports, and interpreting new instructions and procedures. Knowledge of grammar, spelling, punctuation, and required formats, and skill in advising and instructing clerical personnel in subordinate staff activities concerning the preparation of correspondence, office procedures, and interpreting new instructions and procedures. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. This position requires mobility within the facility environment and may on occasion require travel to other locations for meetings and conferences. The position may require flexible duty hours to accomplish program objectives.
