As a Program Support Assistant you will perform a wide-range of administrative duties in support of the office staff to include answering phones, greeting walk-in customers, preparing and reviewing correspondence; maintaining document filing; photocopying; faxing documents; shredding documents; maintaining supplies; processing timecards; assisting with travel arrangements; and utilizing Microsoft Office applications.

Duties

Maintains correspondence control tracking records and suspense files on electronic and hard copy file storage to ensure timely reply and action. Reviews and prepares correspondence for the EEO complaint process through the use of letters stored in the automated tracking system Identifies incoming EEO complaint documentation and reviews the automated tracking system to ensure documents correspond to previous data and are forwarded to the appropriate technical specialist for processing. Performs timekeeper functions, and other administrative functions as assigned by Lead/ Supervisory Program Assistant, or as otherwise directed by the Assistant District Manager or District Manager.

Qualifications

Specialized Experience: To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. The Office of Personnel Management's group coverage qualification standards, associated individual occupational requirements (IOR), and individual qualification standards covering white collar occupations in the Federal competitive service can be found here. GS-05 level: To qualify, applicants must have one year of general experience equivalent to at least the next lower grade (GS-04) in the normal line of progression for the occupation in the organization. General experience is defined as work that involves (1) Meeting and greeting visitors for an office; (2) Monitoring supply levels for an office and (3) Filing documents. Or successfully completed 4 years of education above high school. Or applicants can combine education and specialized experience to qualify for the position. If you have some, but not all, of the graduate education AND specialized experience described above, you may still qualify by combining the amount of creditable education and experience that you do have. To do so, first calculate the percentage of qualifying education you have as a percentage of the education required. Next, calculate the percentage of specialized experience you have as a percentage of the experience required. Then, add the two percentages. The total percentage must equal at least 100% for you to qualify for the position at the GS - 05 grade level. Only graduate education in excess of the amount required for the next lower grade level may be used to qualify applicants for positions at the GS-05 level. GS-06 level: To qualify, applicants must have one year of specialized experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. Specialized experience is defined as work that involves (1) Purchasing supplies for an office; (2) Routing correspondence to appropriate personnel; and (3) Coordinating travel for employees. GS-07 level: To qualify, applicants must have one year of specialized experience equivalent to at least the next lower grade (GS-06) in the normal line of progression for the occupation in the organization. Specialized experience is defined as work that involves (1) Creating reports and correspondence for an office; (2) Assisting in completing travel vouchers for employees; and (3) Approving purchases of supplies for an office.
