The North Florida/South Georgia Veterans Health System serves veterans across a large geographical area in North Florida (33 counties) and South Georgia (19 counties). In addition to our two medical centers in Gainesville and Lake City, we offer a number of services to our patients in several satellite outpatient clinics and community-based outpatient clinics. The Malcom Randall VA Medical Center (VAMC) is one of two VAMCs in the North Florida/South Georgia Veterans Health System.
Duties
Serves as direct supervisor of diverse team of Advanced Medical Support Assistants (AMSAs) responsible for scheduling, access, receptionist and customer service across all modalities at the within Diagnostic Imaging Service. This includes general radiology, MRI, CT, Ultrasound, Interventional Radiology, Mammography and Nuclear Medicine.
Assigns, directs and reviews work by AMSAs under supervisory authority. Responsible for maximizing department efficiency and monitoring completion of all assigned workload. Identifies areas for improvement and implements actions plans. Completes audits for accuracy of scheduling in accordance with scheduling policies and procedures.
Runs reports to maintain scheduling practices, dispositioning, and performs quarterly audits.
Assures Diagnostic Imaging Service maintains coverage in all appropriate sections. Oversees time and leave for staff, assignment to tours of duty, and ensures that minimum staffing levels to maintain productivity are maintained at all times.
Implements employee development programs. Trains employees in Standard Operating Procedures, medical center policies and procedures, scheduling policies and procedures, and local policies. Enforces and implements all applicable policies and procedures. Prepares agendas, presentations and meeting minutes for monthly service meetings.
Assists in preparation for internal and external review programs, including Joint Commission, CAP, OIG, GAO, Environment of Care, etc.
Completes Performance Appraisals and quarterly competencies for all assigned staff. Implements corrective actions, performance improvement plans, and disciplinary action when required.
Participates in human resource operations, including interviewing candidates for positions, evaluation of candidates and making recommendations for promotional or employment candidates.
Collaborates with service leadership for formulating and implementing administrative and operational policies/procedures, including personnel matters, space, budget, equipment. Completes administrative duties as assigned.
Represents service on hospital committees.
Travel to all Medical Centers and Outpatients Clinic within NF/SG as required for managing staff, service meetings and projects.
Work Schedule: Monday - Friday 8:00 a.m. - 4:30 p.m.

Qualifications
BASIC QUALIFICATIONS:
A. Citizenship: Applicant must possess a United States Citizenship.
B. Education and/or Experience Combination:
(1) Experience. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;
or(
2) Education. One year above high school;
or
(3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
C. English Language Proficiency:
In accordance with 38 U.S.C. 7402(d), No person shall serve in direct patient care positions unless they are proficient in basic written and spoken English. You must be proficient in basic written and spoken English in order to meet the requirements of this position.
GRADE QUALIFICATIONS (IN ADDITION TO THE BASIC QUALIFICATIONS):
Grade Determinations: GS-08 Supervisory Medical Support Assistant
(a) Experience: One year of experience equivalent to the GS-7 grade level [leading or supervising Medical Support Assistants (MSAs) or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting] is required.
Specialized experience is experience that equipped the applicant with the particular knowledge, skills, and abilities associated with the work assigned to the position. Examples of specialized experience are: Extracting and Analyzing medical administration data in order to provide reports in support of performance measures to senior management; expert knowledge and oversight of eligibility and benefits programs in regards to patient eligibility; planning and directing the day to day operations of subordinate staff in the outpatients clinics setting; assigning and evaluating the work of subordinate staff in the outpatients clinics setting; supervising a team let in a specialized in the outpatients clinics setting; conducting performance evaluations of medical support staff; writing disciplinary actions when appropriate; involved in the interview and selection process of vacancies within the medical staff department; etc.
Preferred Qualifications:
Expert working knowledge of appointment management and scheduling policies, procedures and VISTA appointment manager menus.
Knowledge of BISL, VSE, Foundations, EHR
Strong working knowledge of Mission Act Program and Community Care programs
Knowledge of labor and employee relations, bargaining units preferred
(b) Demonstrated Knowledge, Skills, and Abilities (KSAs). Candidates must demonstrate [all of] the KSAs below:
i. Ability to provide the full range of administrative and supervisory duties [to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
ii. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations.
iii. Ability to provide briefings, orientations, staff development, and training in a patient support setting.
iv. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
v. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

Physical Requirements:
The work is primarily sedentary and walking. The work requires the ability to handle multiple demands simultaneously in dealing with a wide variety of clients on a daily basis. Tasks will require prolonged use of computers. There are lengthy periods of sitting, interrupted by intervals of walking and climbing stairs about the medical center to make the many personal contacts required of this position.
Education
There is no education substitute for GS-8.
