This position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), VISN8, North Florida/South Georgia (NF/SG) Veterans Health System, Mental Health Service. The Program Assistant (OA) works directly with the Associate Chief of Staff (ACOS) for Mental Health Services.
Duties
Working in the ACOS office, the Program Assistant directly support the administrative functions and the multi-disciplinary teams of the Mental Health Service program staff. The Program Assistant works closely with the Service Chiefs, AOs, and Program Assistants of the Mental Health Services from our outpatient Mental Health Wellness Center.
Major Duties include, but not limited to:
Compiles statistical data for programs.
Prepares data driven reports.
Maintains written records.
Prepares written correspondence that meets national standards.
Procures all needed supplies and equipment.
Provides customer service to Veterans, staff and external stakeholders.
Analyzes work flow to identify technical problems
Work Schedule: 8:00am - 4:30pm; Monday - Friday

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/06/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: apply VA regulations and laws pertaining to Veteran benefits such as eligibility for services in order to ensure that Veteran benefits are applied properly. Assist with data entry and reports retrieval to support technical activities of the service programs. Provide quality customer service to Veterans, staff and external stakeholders and routing incoming phone calls to appropriate staff. Reconcile purchase charges, resolve disputes of charges, and documentation requirements as a purchase cardholder to compile with all acquisition regulations, both Federal, VA and local. Collect, compile, and/or track data and statistical information; prepare, execute, and/or track program specific information; and utilize software applications to draw information to prepare/assist in the preparations of reports.
In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skill:

Physical Requirements: This work involves some walking, standing, bending, and carrying of some light items. The work requires the incumbent to be able to move comfortably around the office and when necessary other locations. The work involves a considerable amount of time gathering and
recording data.
