Duties

You will schedule meetings, appointments, and in-house conferences in accordance with supervisor's direction. You will operate an automated computer system to maintain and update electronic records to enable quick and efficient retrieval of information. You will draft emails, letters, memoranda, or reports in support of administrative practices. You will greet visitors or callers and handle their inquiries or direct them to the appropriate person according to their needs. You will serve as principal assistant and office manager for the Command Suite, performing secretarial and administrative duties. You will determine the nature of all calls or business visitors and decide if another command staff member would be better able to assist. You will prepare letters and endorsements ensuring sentence structure, format, grammar and spelling are correct. You will respond to routine and nontechnical requests for information such as status/reports, suspense dates, and similar information readily available and may involve determining whether or not to release the information.

Qualifications

This position has a Selective Placement Factor: You must be able to type at least 40 words per minute based on a 5 minute sample with three or fewer errors (this information must be supported in your resume). Your resume must also demonstrate at least one year of specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: 1) Maintaining an office calendar to schedule appointments and/or arrange meetings for executives and superiors while avoiding conflicts 2) Answering phone calls, greeting visitors, or responding to routine requests for information 3) Utilizing automated computer programs such as Microsoft Office, electronic travel systems, timekeeping software, etc. 4) Operating scanners, fax machines, printers, and other office equipment. 5) Preparing correspondence using correct grammar, spelling, capitalization, format, and punctuation in compliance with established procedures and regulations Additional qualification information can be found from the following Office of Personnel Management website: https://www.opm.gov/policy-data-oversight/classification-qualifications/general-schedule-qualification-standards/#url=Group-Standards Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., professional, philanthropic, religious, spiritual, community, student, social).
