Nursing Service is looking to fill one (1) Lead Program Support Assistant position. Located at the San Diego VA Medical Center, Nursing Service is the largest service within the facility. The primary purpose of this position is to lead the program support assistants established to align the various program support assistant functions into one specific position with support over Nursing. These individuals greet guests, answer phones, provide a range of clerical and admin duties.
Duties
Duties include but are not limited to:
Overseeing the receipt, review and determination of appropriate action for all incoming and/or outgoing official mail
Handling sensitive personnel documents i.e. disciplinary, Nursing Practice, terminations, suspensions.
Performing timekeeping duties for the unit
Receiving and directing all visitors and/or telephone calls appropriately
Act as a liaison to other staff within the organization to provide accurate advice on procedures, reports, requirements, and/or other matters necessary to implement new policies, directives, and instructions.
Independently resolve questions and complaints from internal and/or external customers
Format all correspondences to include policy and VAMC memorandums
Independently determine the attendees/representatives based on topics while scheduling meetings or conferences.
Generate meeting minutes for various executive level meetings, and distribute appropriately
Ability to lead or supervise
provide oversight, guidance, and training to timekeepers as needed
maintain multiple calendars i.e. scheduling appointments, meetings, interviews and conferences.
Work Schedule: Monday - Friday 7:00am to 3:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/01/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: knowledge of office automation systems, including but not limited to Microsoft Office Suite, Teams, SharePoint, VistA or CPRS. A general knowledge related to operating office equipment, advanced knowledge of grammar, spelling and punctuation. Advanced knowledge of standard processing procedures, formats and distribution and retention policies for the correspondence or reports produced, and a general public affairs knowledge to effectively represent the Medical Center and the Department of Veterans Affairs to internal and external customers. .

Physical Requirements: The work is primarily sedentary in nature. However, it will require some walking and standing throughout the course of a normal workday. Some lifting (not to exceed 50lbs), with bending, stooping and overhead reaching will be required (e.g., carrying/relocating such items as boxes of supplies and/or equipment parts). The incumbent uses a keyboard and telephone extensively during their usual daily activities.
