The Advanced Medical Assistant (AMSA) Care Coordinator is located in the Care Navigation Center (CNC) Community Care section, organizationally aligned under the Deputy Chief of Staff. The incumbent is responsible for the administrative management of Community Care consults by coordinating referrals for Chillicothe VA Medical Center and associated Community Based Outpatient Clinics (CBOCs).
Duties
Duties include, but are not limited to:
Schedules appointments, interpreting and verifying provider orders/consultations in accordance with Veteran Health Administration (VHA) national scheduling guidelines.
Cancels and re-schedules patient's appointments and/or consults, entering no-show information, monitoring inpatient and outpatient appointments for areas of responsibility and preauthorization requirements for specific coverage.
Monitors consult timeframe compliance, reviews records for accuracy and completion.
Collects data for reporting and dissemination to various programs, and manages medical administrative functions associated with the CNC program.
Prepares medical center level reports upon request from upper management, utilizes multiple software applications to obtain information required to complete reports, assists in planning, reviewing and reporting of data.
Collects, compiles, analyzes and presents data regarding consult integrity in the CNC.
Work Schedule: Monday through Friday, 8:00 A.M. to 4:30 P.M. or 7:30 A.M. to 4:00 P.M.

Qualifications
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education:
(1) Experience. Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;
OR,
(2) Education. One year above high school;
OR,
(3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.

English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Grade Determinations: To qualify at the GS-6 level you must have one year of equivalent experience to the GS-5 grade level. Experience includes, but is not limited to: independently performs duties related to the delivery of healthcare services in an inpatient or outpatient setting. Advises clinical staff on current administrative processes. Responsible for answering phones, greeting patients, relaying messages to appropriate staff inside or outside of the unit, scheduling appointments, including interpreting and verifying provider orders. Assignments at this level include, but are not limited to: scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources.
In addition to the above requirements, you must demonstrate [all of] the Knowledge, Skills, and Abilities (KSAs) below:
i. Ability to collaborate [and] communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
ii. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
iii. Ability to communicate tactfully and effectively, [electronically, by phone, in person], and in writing, [with internal and external customers]. This may include preparing reports in various formats and presenting data to various organizational levels, [as well as resolving patient concerns].
iv. Advanced knowledge of the technical health care process [(including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals)] as it relates to access to care.
v. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care [administrative functions] to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
vi. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

Physical Requirements: The ability to stand, walk, bend, and move freely. The work requires extensive periods of utilizing a computer keyboard and up to two monitors, completing phones calls and electronic charting. Must have good hearing, eyesight, and physical dexterity. Specific vision abilities required by this job function include but are not limited are close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. The work is predominately performed in an office setting and involves the normal risks and discomforts typical of an office. The work area is adequately lighted, heated, and ventilated. Special correct ergonomic precautions must be taken with sitting and typing.
