The employee will serve as a File/ Scanning Clerk at the Clarksburg - Louis A. Johnson VA Medical Center, in Clarksburg, WV. The primary duties of this position are to maintain accessible records and provide efficient service for direct and indirect patient care by managing the receipt and scanning of health documents in a timely and accurate manner.
Duties

Duties include, but may not be limited to the following:
Receiving, organizing, scanning and indexing medical and administrative records.
Scanning documents electronically into computerized databases (i.e., imaging).
Maintaining confidentiality of all records and ensuring documents are secure at all times.
Mailing and disposing of health information.
Preparing documents for scanning by removing paper clips, staples, tape, etc., and setting in appropriate order.
Utilizing multiple computer and software systems and technology used in imaging and scanning applications to properly scan documents into patient medical files.
Coordinating record transfer, follow-up, scanning and indexing functions with administrative and other staff members.
Performing quality control by ensuring documents are scanned and indexed to the correct patient.
Utilizing approved protocol and safety measures to transfer, mail and destroy medical documents.
Utilizing proper formats, forms, grammar, spelling and punctuation in all correspondence.
Performs timely filing, retrieval and clerical duties associated with retention, maintenance, disposition, guardianship and control of health records.
Perform other duties as assigned.
Work Schedule: Monday-Friday, 8:00 am- 4:30 pm

Qualifications
GENERAL EXPERIENCE: Applicants must possess one (1) year of general experience, that equipped you with the knowledge, skills, and abilities needed to successfully perform the duties of this position. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled.

SUBSTITUTION OF EDUCATION FOR EXPERIENCE:Successful completion of two (2) years of education above the high school level in any field. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. (TRANSCRIPT REQUIRED)

COMBINATION OF EDUCATION AND EXPERIENCE:Combination of successfully completed post high school education and experience may be used to meet total qualification requirements. (TRANSCRIPT REQUIRED)

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is mostly sedentary; however, until records have been automated, work may involve considerable walking, standing and bending in the search for health records. There is lifting and carrying of bulky records and boxes, usually not to exceed 50 pounds. Pushing carts is routine for retiring records.
