The primary purpose of this position is to serve as MAJCOM Field Operating Agency (FOA) Term Administrative Support Assistant, performing various administrative duties. Supporting the Commander Support Staff, Operations, Financial Management, Mission Support, Policy and Analysis Directorates, and the Training Office ensuring day-to-day operations.

Duties

Takes direction from the Director and unit Administration Program Manager (Unit Secretary) Coordinates, edits, staffs, and tracks all Directorate's United States Government (USG) and foreign nation's Foreign Military Directs timely and accurate processing of all Enlisted, Civilian, and Officer Awards and Decorations. Maintain complete comprehensive and accurate records. Coordinated and organized high-level U.S. and foreign military and distinguished (DV) civilian dignitaries' visits.

  • May be required to obtain and maintain a Government Travel Credit Card for travel.
  • Work may occasionally require travel away from the normal duty station on military or commercial aircraft.
  • Desired experience planning U.S. and foreign Dignitary Visits.
  • May occasionally be required to work other than normal duty hours, to include weekends, holidays, and overtime.
  • Employee may be subject to being on-call to support mission requirements and during periods of high activity e.g. end-of-year close out. These irregular hours are usually not forecasted and require flexibility on the part of the member.
  • Travel and relocation expenses will NOT be paid.

Qualifications

In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-07, or equivalent in other pay systems. Examples of specialized experience includes planning, directing, organizing, and exercising control over the activities an office, ensuring it complies with regulatory requirements and meets customer needs; planning, organizing, and directing administrative functions; managing personnel programs, ensuring timely processing of performance reports, awards, and personnel actions; coordinating events for distinguished visitors; and using office automation software programs, tools and techniques to support office operations and produce a variety of documents and presentations. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-07 level is required to meet the time-in-grade requirements for the GS-08 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Knowledge of administration rules, procedures, and operations to perform assigned work, MS Office suite programs (i.e. Word, Excel, PowerPoint, Outlook, etc.) and teleworking programs (Zoom and Teams) within a high operations tempo atmosphere. Knowledge in Records Management, Automated Time Attendance and Production System (ATAAPS), Defense Travel System (DTS), and Task Management Tracker (TMT), Leave Web, OPR, EPRs, PRFs, awards/decorations and applying analytical methods to correct issues concerning the efficiency and effectiveness of unit's administrative support operations. Skilled working complex management issues and projects with senior U.S. leaders, foreign governments, foreign military, U.S. industry, and unit personnel with an understanding of cultural, socio-political, and economic dynamics. Will participate in AFSAT's International Affairs professional development training plans. Ability to communicate clearly, concisely, and with technical accuracy, both orally and in writing; and work in a professional manner to effectively and properly format and staff reports, deliver briefings, papers, documents, and slides presentations; and correctly manage and store files and records per Air Force guidance. Ability to gather and analyze facts, information and data, and draw conclusions to plan, organize, and to communicate effectively, orally and in writing, to gain cooperation from others through tact, courtesy and diplomacy. Ability to use standard office computers and software programs to prepare documents, spreadsheets, and presentations and to communicate effectively and diplomatically in written and oral mediums. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
