The incumbent serves as a clinical service Secretary in Nursing Service at this consolidated university-affiliated, tertiary care Medical Center. The incumbent performs a wide variety of administrative, technical assignments and serves as the primary administrative person for the Chief Nurse. Under the direction and supervision of the Chief Nurse, exhibits independence and initiative in accomplishing daily tasks.

Duties

Major Duties Serves as the primary contact liaison on behalf of the chief nurse. Ascertains the nature of callers/visitors, schedules appointments, meetings, makes appropriate referrals, communicates information to clinical/administrative staff, other services, internal and external entities, other facilities, VISN, national, colleges and universities, vendors, applicants, patients, family members, accrediting agencies, elected officials, etc. Exercises good judgment and discretion while sharing information about the service, office processes, standard operating procedures, and other pertinent information. Has thorough understanding of the technical functionality of the service, as well as a working knowledge of Nursing Service as a whole. Applies this knowledge and discretion to resolve problems that may arise. The Secretary serves as liaison and resource person to management and staff within the organization. Answers questions or concerns regarding processes, scheduling, staffing, payroll, recruitment, professional standard boards, proficiencies, reports, requirement's and other matters necessary to implement the service goals, insuring the chiefs instructions are adhered to. Keeps nurse managers informed of the Chief's view on current issues and programs. Work Schedule: MONDAY-FRIDAY 07:30AM-4:00PM Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/31/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Maintains the Managers' calendars, with authority to make commitments. Provides personnel management and administrative support. Schedules appointments, coordinates meetings, and/or schedules conferences. Maintains and displays necessary files, memoranda, bulletins. Arranges travel; completes and routes necessary forms required for authorization and funding of travel, including requests involving special procedures (e.g. foreign travel, acceptance of contributions incident of training, etc.) Serves as a timekeeper. Maintains employee service records and files and inputs personnel actions, using electronic Human Resources system. You will be rated on the following Competencies for this position: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Some work is accomplished at a desk in office surroundings, but must have the ability to climb stairs and carry small packages up to 20 lbs. Walking, standing, bending, and carrying of light items like papers or books are frequent.
