The Kansas City VA Medical Center (KCVAMC) is a Joint Commission accredited, complexity-level 1b facility located in Kansas City, Missouri. The Medical Center also operates ten Community Based Outpatients Clinics located in both Kansas and Missouri. The Medical Center is part of the VHA VISN 15 located in Kansas City, which includes Eastern Kansas Health Care System (Topeka and Leavenworth), Kansas City, Columbia, St. Louis, Marion, Wichita, and Popular Bluff VA Medical Centers.

Duties

The incumbent works as a Program Support Assistant in the Women Veterans Program (WVP). The purpose of the position is to provide administrative/clerical support to the Women Veterans Program Manager (WVPM) and the WVP to analyze data extracts, compile, collect, report and provide program support and administrative assistance to primary care administration. Major duties include, but are not limited to the following: Schedules and coordinates meetings and/or conferences. Provides general calendar maintenance and clerical services such as maintaining calendars and recording appointments, arranging for meeting and small conference administrative details, or following up on action items with appropriate staff members. Prepares, composes, and/or reviews correspondence prepared for the purpose of obtaining or supplying information to the administrative staff and to the PACT teams. Composes general informational correspondences as needed in appropriate format. Performs clerical and administrative support, ensuring administrative processes are maintained in Women Veterans Program. Maintains program records, policies, and procedures manuals to meet Joint Commission and VHA standards. Supports the evaluation, analysis and/or control of the records management program. Completes routine records management surveys. Identifies and recommends ways of eliminating, combining, simplifying, or improving procedures and processes pertaining to records management. Arranges travel, order supplies, equipment, etc. Receives and directs callers, patients, and visitors. Provides information about the organization as well as Primary Care and the Women Veterans Program. Provides general telephone and visitor referral services. Directs patients, visitor and callers to appropriate staff member based on specific requests or by ascertaining the nature of the calls. Responds to routine matters independently and answers most questions using established business practices involving established policy or standard operating procedures. Evaluates inquires to determine the most useful and appropriate information, resolve inconsistencies in available information or provides alternatives. Other duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/08/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demnstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience includes the following: (1) Utilizing a variety of software programs to obtain, organize, file, and retrieve reports and data for use in briefings, presentations, and status reports, (2) Collecting and tracking statistical information and data in support of organizational programs, (3) Performing clerical and administrative support, ensuring administrative processes are maintained within an organization. Note: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hour worked per week. You will be rated on the following Competencies for this position: Administration and ManagementComputer SkillsOral CommunicationWriting Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. There may be some walking, standing, stooping, bending, carrying of light items such as papers, books, or small parts, etc. Concentration and sustained performance under prolonged stress is required because of the time factors involved in completion of work assignments within deadlines. Incumbent may be susceptible to eyestrain from working long hours on the computer. Incumbent must remain emotionally stable under stressful situations.
