This position provides administrative, and liaison support to Occupational Health Program which includes all new employee and existing employees at the VA Memphis Medical Center. Duties include, but are not limited to ongoing liaison with services within the VA Health Care Systems for coordination of requests and physicals.
Duties
This position will perform clerical and liaison support for all facets of Occupational Health Program. The work consists of various duties, projects, or assignments involving different and unrelated program analysis technical processes and procedures. Assignments or projects involve various actions that are not completely standardized or prescribed in instructions, guidelines, or precedent cases; adaptation or modification of established procedures and methods Occupational Health Service that serves approximately 2800 employees at the Memphis VA Medical Center. Duties include but are not limited to:
Ongoing liaison with services within the VA Health Care Systems for coordination of requests and physicals. Also, collaboration with other services for follow-up of suspense's.
Incumbent performs a wide variety of clerical tasks associated with maintaining and supporting the work performed within the organization.
Such work includes a variety of clerical functions necessary to the smooth management of an office and ranges from correspondence and
information control to tracking equipment, supplies and services and educational support for staff training and monthly meetings.
Advises supervisors and employees on the interpretation and application of straightforward human resources policies, practices, and procedures regarding the Occupational Health Program.
Processes paperwork for the hiring of staff. Contacts staff to arrange for appropriate exams and paperwork needs before starting at the VA Memphis, schedules examinations for new employees as part of their on-boarding and employees seeking Occupational Health Services.
Assists employees with the appropriate paperwork needs for on the job injuries.
Ensures that performance ratings are submitted in a timely manner in accordance with regulatory guidelines.
Maintains department workload data and productivity measures, updates and processes annual staff proficiency and training reports plus any other clinical duties as assigned.
Receives and processes all correspondence, updates schedule, assists agency and persons outside the agency, patients and visitors, referring visitors, or providing information about the office, its functions, and standard operating procedures (SOP), as well as similar information.
Screens calls, and personally answers calls when the requested information concerns routine and procedural requirements.
Entrusted in supplying requested information consistent with HIPAA mandates when the question concerns information the employee is familiar with or can easily access (e.g., status of reports, suspense dates, procedural requirements, consultation status and clinical appointment blocks).
Work Schedule: Monday through Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/30/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of standards that either are compliant with or derived from established standards or guidelines. Expresses ideas and facts to individuals or groups effectively; makes clear and convincing oral presentations; listens to others; facilitates an open exchange of ideas. Performs functions related to the electronic transmission of healthcare-related data among medical facilities, health information organizations and government agencies according to healthcare interoperability standards. Considers and responds appropriately to the needs, feelings, and capabilities of others; adjusts approaches to suit different people and situations.

Physical Requirements: No special physical demands are required. The work is primarily performed while sitting.
