The incumbent serves as a Program Support Assistant for the Primary Care Service, providing logistical and administrative support in the management of Primary Care Service clinical and academic programs. S/he works at a two-divisional teaching hospital affiliated with the University of Kentucky (UK) Medical Center at the U.S. Department of Veterans Affairs (VA) Medical Center, Lexington, KY.
Duties
Duties include, but not limited to:
Provides programmatic support in several key areas, including the PCMM (Primary Care Management Module) package, clinic setup and maintenance, data mining/reporting, and support related to space and equipment.
Maintains the PCMM database for all of primary care entities throughout the hospital service area.
Maintains existing primary care teams, assigning and purging staff as appropriate.
Enrolls/assigns all patients to all provider grids for the primary care teams.
Investigates enrollment discrepancies identified by Vista Web, PCMM Web, databases, or other VA sites.
Runs PCMM reports and provides the Business Manager with up-to-date information regarding enrollment, panel size, etc.
Reviews data transmission errors and inconsistency logs to ensure PCMM data is accurate.
Provides general administrative support for clinic administrative processes to primary care clinics in the following areas: Initial clinic set up; annual clinic review; periodic clinic profile changes; review of waiting lists to ensure accuracy and compliance; review of recall entries and reports.
Provides ongoing as well as one time data to be used by the Business Manager, Service Chief, or other primary care service employees.
Compile data into meaningful and concise reports.
Serves as a secondary ADPAC for primary care service and as such will be knowledgeable about packages used by primary care clinicians and support staff.
Responsible for requesting computer access, troubleshooting computer problems, and assisting with training of staff regarding computer issues.
Attends and participates in ADPAC meetings.
Assists with training of new staff, including providers, on use of the computer system; develops necessary training material to assist with this endeavor.
Works with the Administrative Officer to ensure the for variety of activities associated with space and equipment including conducting inventories, requesting equipment and supplies for the team, and participating in meetings/discussions regarding construction/activation.
Performs the annual equipment inventory, compiling and requesting the annual equipment request, performing follow up associate with environment of care or safety rounds; assisting with activities involving construction, space modification, or activation of new space.
Work Schedule: Monday - Friday, 7:00AM - 3:30PM, 7:30AM - 4:00 PM, 8:00AM - 4:30PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/27/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience: You must have at least one (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties the Program Support Assistant at the full performance level (GS-6), and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal service. Examples of specialized experience would typically include, but are not limited to: responsible for providing administrative support ,clerical, technical, or customer support; processing documents and reports; establishing, updating and maintaining office files and records; Knowledge of various office automation software such as MS office (word and exec), Outlook, and PowerPoint; receiving and referring phone calls; communicating and treating customers in a courteous, tactful and respectful manner while providing consistent information according to established policies and procedures; and using computer programs, software applications, databases, and automated systems to prepare documents. Note: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hour worked per week.

Physical Requirements: Work is sometimes sedentary but requires walking, standing, and carrying of medium weight items, such as, patient records. Incumbent may be required to stand for long periods when conducting training sessions. Position requires travel between a two division medical center and may require occasional trips to the CBOCs (Community Based Outpatient Clinics).
