Duties
Works under general supervision of the Sales & Conference Manager.
dual responsibilities of booking groups and conferences and coordinating, administering and monitoring scheduled conferences resulting in an increase in revenue.
Books group and conference sales events based on availability and organizational guidance.
Incumbent is expected to use creative ideas and resourceful means to "sell" facilities for conferences.
Evaluates and coordinates detailed aspects of each event from conference space, rooms, recreational and team building events, audio visual requirements, transportation requirement, child care support, social events, etc.
Primarily responsible for pre-conference/meeting/banquet bookings, executions and follow-up, also the coordination of these activities with other concerned departments, as well as external sources and contractors during all phases of the group and/or conference.
Processes group and conference rooming lists.
Formulates and prepares contractual arrangements for each group/conference event and coordinates with individual clients for finalization/completion of sale.
Creates and strengthens strategic business relationships with all military travel professionals including, but not limited to, base ITT/ITR managers, Leisure Travel Office managers, single military member coordinators, retiree coordinators and key DOD Commanders.
Creates and maintains database files for all business clients.
Responsible for identifying promotional opportunities and representing the organization at travel shows, industry tradeshows, group presentations and additional promotional opportunities.
Generates presentation materials and conducts informational briefings for a wide range of DOD personnel and travel offices.
Partners with the marketing department to seize marketing opportunities including, but not limited to, base publications, base television, commercial military publications and sponsorship opportunities.
Responsible for researching and tracking target markets for current and future business opportunities, and keeps aligned with marketing trends and competitor products, services and pricing.
Responsible for maintaining promotional collateral inventories and orders.
Submits weekly activity reports and generates written reports on various topics upon request.
Maintains technical equipment, performs administrative duties as required.
Coordinates and participates in familiarization tours and events.
Travels extensively throughout military communities and special event locations as needed, operating a military vehicle in accordance with SOP's, and is responsible for identifying and developing new business opportunities and closing sales.
Evaluates financial statements, reviewing costs against revenues, advising supervisor of status and recommending improvements.
Assists in ensuring the adherence to all the Internal Control items related to the conference activities.
Maintains conference, lobby and guest areas.
Performs other duties as assigned.
Requirements

QUALIFICATIONS MUST BE CLEARLY VERIFIABLE IN YOUR RESUME. GOVERNMENT POSITIONS MUST INCLUDE PAY PLAN, SERIES, GRADE, TO AND FROM DATES, AND GOVERNMENT AGENCY/DEPARTMENT. All qualification requirements must include experience performing duties equivalent in scope and complexity to the next lower grade level.
Work experience or education directly related to duties to be performed.
Experience with computer reservations systems for hotels.
