This position is located at the William S. Middleton Memorial Veterans Hospital, Madison, WI. (607) - a Level 1b Complexity VHA Facility, and is organizationally aligned under the Health Information Management (HIM) Section of Patient Administration Service. The primary purpose of the work is to provide timely and accurate filing/scanning service to facilitate the compliance with requests for information and reliability of medical information as well as result in delays in coding for third party reimbursement, workload capture, operational and strategic activities, and ultimately, the treatment of Veterans. Duties Answers any walk-in or telephone inquiries by patients/clients, employees, volunteers, etc. in a timely, courteous manner. Utilizes necessary customer service skills and verbal communication skills. Coordinates informational needs of administrative and clinical for VA file systems and medical records Responsible for the accurate electronic conversion of medical documents not amendable to direct entry and numerous medical reports from non-VA facilities, private physician's offices and internal departments Index each captured/scanned document within the appropriate electronic document management system (EDMS) Associate each captured/scanned document with the correct patient's computerized Patient Records System (CPRS) record. Open mail, prep records, scan records and index records for fee basis patients in scanning capture, review records scanned into VistA imaging for duplicate records, and attach medical records to non-va consults. Review and research medical reports from non-va health care facilities making determination as to which documents are to be scanned. Ensure that all necessary health/administrative information are integrated into VistA through PC scanning software. Index this information using PC/VistA applications bridges Work Schedule: M - F 8:00am - 4:30pm Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/24/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-4 position you must have served 52 weeks at the GS-3. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. General Experience: You must have one year of experience equivalent to at least the next lower grade GS-3 in the normal line of progression for the occupation in the organization. Examples of experience would typically include, but are not limited to: Progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have two years of above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. (TRANSCRIPTS REQUIRED) OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of experience and education equal to 100 percent to qualify at this grade level. This is determined by adding the total qualifying experience as a percentage of the experience required for the grade level and the applicant's education as a percentage of the education required for the grade level. (TRANSCRIPTS REQUIRED) You will be rated on the following Competencies for this position: Analytical ReasoningComputer SkillsCustomer Service (Clerical/Technical)Technical Competence Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is mostly sedentary; however, some bending, stretching, walking, and lifting are required. Boxes of records weighing up to 50 lbs must be packaged and lifted for shipment. Working conditions: Work is normally performed in an office setting in Health Information Management Section with the William S. Middleton VA Hospital.
