The Women's Health Patient Service Assistant is assigned to the Birmingham VA Healthcare System, Women's Health Service Line under the supervision of the Women's Health, Chief. The Program Service Assistant has a primary responsibility to support the planning and operational management for the WHSL. The clinical and psycho-social needs of women Veterans are complex and require a high degree of oversight and creative problem-solving between VA staff and a wide variety of community partners.

Duties

Provides clerical, administrative, business, and technical assistance in the areas of day-to-day operations and program planning/evaluation for Women's Health. The incumbent provides clinical administrative support and technical assistance for the WHSL programmatic, clinical coordination, outreach and Veteran engagement services including those provided by the chief, clinical coordinators, and outreach staff. Performs various clerical duties such as reminder calls, mailing correspondence, timekeeping; Processes incoming and outgoing materials such as correspondence, reports, memorandum, and other forms of communication. Performs duties using good communication and customer service skills, and exercise judgment in difficult situations with both internal/external customers. Performs analysis of data that is vital for the service and generates reports documenting deficiencies to meet VISN level/National Compliance Reports include but are not limited to WVs enrolled and engaged in BVAHCS, customer satisfaction, access, missed opportunities, consults, etc. Creates documents and tracking spreadsheets as needed and requested by the Service Chief and WVPM. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/23/2023 Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below. Specialized Experience: Do you possess one (1) year of specialized experience equivalent to the next lower grade level (GS-06) in the Federal service or equivalent? This experience has equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position and is typically in or related to the position to be filled. Qualifying experience includes but is not limited to computer skills, at an expert level, using a wide variety of software such as Microsoft Office, XP, Word, Excel, Power Point, Outlook, and Access. Knowledge of the internal organization of patient records to search records and extract medical information and data relevant to patient treatment, and to review records for completeness and accuracy of care and to maintain tracking records. Knowledge of Privacy Act and Freedom of Information Act. You will be rated on the following Competencies for this position: Organizational Stewardship Attention to Detail Interpersonal Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
