This position is located at the VA Medical Center in Boston, MA. The Secretary provides administrative and clerical support to the Office of the Chief in Dental Service.
Duties

Major duties include, but are not limited to:
Keeps the office running smoothly and efficiently
Screens calls and visitors and independently responds to inquiries and problems using discretion, tactfulness, and confidentiality
Provides assistance to the Advanced Medical Support who handles scheduling and the Pathways Student who handles the reception desk
Screens telephone call from officials, employees, supervisors, other Federal agencies and the general public
Receives incoming mail; sorts and routes to appropriate staff
Types and composes various types of correspondence, such as minutes, letters, memoranda, agendas, spread sheets, work orders, etc.
Records meeting minutes and follows through by tracking and providing reports/data
Schedules meetings and reserves conference rooms
Provides in-service and training to clerical staff to keep them abreast of all changes and updates for the administrative office of the service
Prepares monthly on-call schedule for the service and coordination of vacation schedules
Serves as timekeeper
Assists in receiving visitors and patients to the office and clinic
Performs other duties as assigned.
Work Schedule: Monday-Friday; 8:00am-4:30pm

Qualifications
Specialized Experience: At least one (1) full year of specialized experience that has equipped you with the knowledge, skills, and abilities necessary to successfully perform the duties of this position. To be creditable, this experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal Service. Specialized experience is experience performing clerical/administrative duties in an office environment; providing administrative support; preparing a variety of correspondence and reports; using computerized office equipment and software such as Word, Excel, and/or other related software; managing appointment scheduling for conferences, meetings, etc.; preparing meeting agendas and minutes; creating and maintaining accurate filing systems; and interacting with clients in a professional, courteous manner while assessing and attending to their questions and needs. NOTE: Your experience must be fully documented in your resume and must include job title, duties, month and year start/end dates AND hours worked per week.
