This position is in the Behavioral Health Service at the Chalmers P. Wylie VA Ambulatory Care Center. The incumbent will be assigned as a Program Support Assistant, which is a multi-functional position, with full medical administrative responsibilities. The Program Support Assistant reports directly to the Suicide Prevention Program Manager. The incumbent will be assigned to work specifically with the Outpatient Division of Behavioral Health.
Duties
Duties include, but are not limited to:
Assists in the development and management of spreadsheets, formatting/ finalizing drafts of important and time sensitive documents (meeting minutes, monthly reports, ACRP reports for workload, peer review, etc).
Maintains documentation files.
Performs a variety of computerized office duties using electronic mail, desktop publishing, calendar, and several different database programs such as Excel, SharePoint, and PowerPoint etc.
Obtains and manages supplies of therapeutic literature and handouts, including those needed for groups. Orders or prints materials as needed from locations (e.g., the VA depot, Krames on Demand, etc.)
Assists staff in measuring progress and effectiveness of operations against objectives. Identifies and recommends ways of eliminating, combining, simplifying, or improving procedures and processes
Coordinates and organizes staff leave coverage calendars.
Monitors the call-in line for Behavioral Health staff and disseminates information related to staff call-ins appropriately, including notifying other Behavioral Health staff via email, contacting affected patients to cancel early morning appointments, and providing MSA staff with necessary information to cancel patients with appointments later in the day.
Enters appointment management information into Rev Cycle to ensure proper workload credit and statistical information is maintained. Assists team members with clinic close outs by running the encounter report daily.
Serves as the Timekeeper for the Behavioral Health Department ensuring a thorough knowledge of all regulations and directives pertaining to time and attendance.
Serves as a primary point of contact for ordering equipment or supplies that are needed for Behavioral Health through the Outpatient Division and enters work orders in Maximo for submission to Engineering.
Serves as one of the Behavioral Health PIV Sponsors. Utilizes PIV software to enter confidential employee data for issuance of employee identification.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/01/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Assisting in the development and management of spreadsheets, Performing a variety of computerized office duties using electronic mail, desktop publishing, calendar, and several different database programs, Maintaining records of supply requests and administrative support requirements for staff, Collecting data and tracks trends, including program development and outcome data, Assisting staff in measuring progress and effectiveness of operations against objectives, and Identifying and recommending ways of eliminating, combining, simplifying, or improving procedures and processes.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is mostly sedentary. It will occasionally require carrying of light objects such as files, books, and papers; some walking, standing, and bending. No special physical demands are required to perform work.
