The position will serve as the Secretary to the Chief of Pharmacy Service and will be called upon to provide administrative support to the Pharmacy Service to include Inpatient and Outpatient Pharmacies (Battle Creek and Wyoming Community-Based Outpatient Clinic), and to Clinical Pharmacy Services throughout the main facility and all outlying Community-Based Outpatient Clinics (CBOCs).
Duties
Duties include, but may not be limited to the following:
Perform clerical and administrative support functions for the office, including arranging for travel and meetings, preparation of time and attendance reports and requisitioning office supplies, equipment, and services.
Types correspondence, reports, and records in final form. Ensures correct punctuation, capitalization, spelling, grammar, and required style. Prepares various statistical and narrative reports.
Prepares agenda and minutes for monthly staff meetings and other meetings as requested, to include Pharmacy and Therapeutics (P&T), Compounded Sterile Preparations (CSP) Advisory Committee, Antimicrobial Stewardship Program (ASP) Subcommittee, Medication Safety Program (MSP) Subcommittee, and other interdisciplinary meetings.
Utilizes SharePoint to maintain scheduling calendar for pharmacy conference room(s).
Monitors Streem Fax and alerts supervisors and staff in area of any follow-up needed.
Maintains a wide variety of Service files, trackers, and records including up to date Medical Center Policies (MCPs) and Standard Operating Procedures (SOPs) for Pharmacy Service.
Maintains appropriate levels of various office supplies and organizes supply closet.
Enters work orders as needed for pharmacy.
Assists the Program Support Assistant with Records Management for Pharmacy Service, attending training and maintaining compliance with Records Control Schedule (RCS-10).
Maintains All Employee Survey action plans and provides reports on progress.
Assists Pharmacy Service with planning, preparation, and implementation of Equipment Inventory Listing (EIL) scanning throughout the year.
Serves as secondary Service Level Advocate (SLA) for Pharmacy Service to the Program Support Assistant.
Handles Veteran complaints and enter them into the Patient Advocate Tracking System - Replacement (PATS-R) portal.
Performs other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/23/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Specialized Experience GS-6: Do you have at least one (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties of Secretary (OA) at the full performance level (GS-6), and that is typically in or related to the position to be filled? To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal service. Specialized experience is Knowledge of the programs of pharmacy to screen requests for information, personally providing authorized information, and referring non-routine requests to the appropriate staff members. Knowledge of the duties, priorities of the Chief, Pharmacy. Knowledge of the organization of the Medical Center as well as related policies, procedures, and committees. Knowledge of grammar, spelling, punctuation, forms and required formats. Uses various functions of several types of office automation systems, including Microsoft Office 365, and VHA systems, including timekeeping and the electronic health record (EHR). Uses a variety of office automation equipment including computers, printers, copy machine, scanning, Streem Fax, electronic mail to transmit and receive messages, electronic shared file locations, voice mail and multi-lined telephone.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary. Some walking, standing, bending, carrying of office items is required.
