Duties

The following are the duties of this position at the GS-12. If you are selected at a lower grade level, you will have the opportunity to learn to perform all these duties, and will receive training to help you grow in this position. As an Office Administrator, you will: Assist the AS/GDAS by performing a combination of duties requiring a broad knowledge of Budgeting; Supply management, Procurement, and Contracting. Apply an extensive knowledge of travel regulations and allowances when preparing itineraries. Monitor, track and review all incoming and outgoing correspondence, including congressional correspondence prepared by the Special Assistant, GDAS, and/or the AS's signature and/or concurrence, and determining its disposition. Serve as the editorial expert for the AS/GDAS and support staff. Review all office correspondence, staff actions, and reports prepared for their signature for thoroughness, clarity, completeness, clearances, grammar and procedural correctness. Develop and maintain a standardized system of filing so that the office personnel will clearly understand and identify documents correctly. Serve as the office automation technical advisor making determinations on the types and amount of automation equipment needed and providing guidance and instruction to staff members as required in the use of software and hardware.

You must meet the following requirements within 30 days of the closing date of this announcement. Specialized Experience: For the GS-09 grade level, you must have one year (52 full weeks) of specialized experience at a level of difficulty and responsibility equivalent to the GS-07 grade level in the Federal service. Specialized Experience for this position includes: - Applying office administrative operations and policies to fulfill all administrative needs for an office or organization: AND - Performing administrative functions such as scheduling meetings and conferences, establishing priorities, controlling correspondence, and prioritizing, coordinating and managing assignments OR Education: You may substitute education for general or specialized experience as follows: Master's or equivalent graduate degree OR 2 full years of progressively higher level graduate education leading to such a degree or LL.B. OR J.D., if related OR Combination: You may qualify by a combination of experience and education. To combine education and experience, the total percentage of experience at the required grade level compared to the specialized experience requirement, as well as the percentage of completed education compared to the education requirement must equal at least 100 percent. Only graduate level education in excess of the first 18 semester hours (27 quarter hours) may be combined to be considered for qualifying education. Specialized Experience: For the GS-11 grade level, you must have one year (52 full weeks) of specialized experience at a level of difficulty and responsibility equivalent to the GS-09 grade level in the Federal service. Specialized Experience for this position includes: - Researching and interpreting information needed to prepare reports, and to respond to requests for information; AND - Performing administrative functions such as scheduling meetings and conferences, establishing priorities, controlling correspondence, and prioritizing, coordinating and managing multiple projects and assignments; AND - Developing reports, briefing documents, data spreadsheets, and presentations using Microsoft applications OR Education: You may substitute education for general or specialized experience as follows: Ph.D. or equivalent doctoral degree OR 3 full years of progressively higher level graduate education leading to such a degree OR LL.M., if related OR Combination: You may qualify by a combination of experience and education. (Note: Only graduate level education in excess of the first 36 semester hours (54 quarter hours) may be combined to be considered for qualifying education.) Specialized Experience: For the GS-12 grade level, you must have one year (52 full weeks) of specialized experience at a level of difficulty and responsibility equivalent to the GS-11 grade level in the Federal service. Specialized Experience for this position includes: - Troubleshooting office support issues and providing technical assistance.; AND - Establishing administrative goals or objectives to help promote office efficiency and productivity.; AND - Researching and analyzing administrative inquiries and developing the appropriate oral or written responses.; AND - Developing reports, briefing documents, data spreadsheets, and presentations using Microsoft applications. Experience may have been gained in either the public, private sector or volunteer service. One year of experience refers to full-time work; part-time work is considered on a prorated basis. To ensure full credit for your work experience, please indicate dates of employment by month/day/year, and indicate number of hours worked per week on your resume. Time-in-Grade: In addition to the above requirements, you must meet the following time-in-grade requirement, if applicable: For the GS-09 you must have been at the GS-07 level for 52 weeks. For the GS-11 you must have been at the GS-09 level for 52 weeks. For the GS-12 you must have been at the GS-11 level for 52 weeks. Time After Competitive Appointment: Candidates who are current Federal employees serving on a non-temporary competitive appointment must have served at least three months in that appointment.
