This is a Direct Hire Authority (DHA) solicitation utilizing the DHA for DIB-MRTFB to recruit for positions in the competitive service. About the Position: To serve as the principal office assistant performing administrative and clerical duties in support of the organization, within the 96th MDG, Eglin AFB. A recruitment or relocation incentive may be authorized. Salary negotiation may be available for those candidates who are new to Federal service. Advance leave accrual may be authorized.

Duties

Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents and reviews and finalizes correspondence/documents prepared by others in handwritten or electronic drafts. Composes and signs correspondence of a nontechnical nature in the supervisor's name or in own name as secretary. Consolidates and finalizes information for various reports in accordance with established procedures. Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives. Screens incoming mail to identify what needs to be brought to the attention of the supervisor, referred to appropriate staff, rerouted to other organizations/offices, or handled personally. Establishes and monitors suspense dates and brings to supervisor's attention those that cannot be met by requested date or when there is a conflict. Receives telephone calls, greets visitors, and ascertains the nature of the calls or visits. Maintains supervisor's calendars, coordinates meeting arrangements, and schedules meetings and/or conferences. Performs other administrative and clerical work in support of the office/organization. Uses multiple office automation software with varied functions to produce a wide range of documents that require complex formats, such as graphics or tables, reformatting electronic drafts, and updating existing databases.

Qualifications

Who May Apply: US Citizens In order to qualify, you must meet the experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. Additional information about transcripts is in this document. Specialized Experience: One year of specialized experience performing most of the following which includes: performing office automation support using multiple automated programs and software such as databases, spreadsheets, and graphics to track and prepare reports; prepares a variety of recurring and nonrecurring correspondence; maintains supervisor's calendar, to coordinate and schedule meetings and appointments; and proficient with Microsoft Office, Excel, Word, PowerPoint, Access, etc. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05). Proficiency Required:This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5-minute sample with three or fewer errors.
