The Program Support Assistant (OA) performs various administrative and clerical duties in support of the Social Work (SW) Service Community Care/PAS and Specialty Program Section Chief. This includes, various ADPAC (Automated Data Processing Applications Coordinator) duties. Performs office automation support using multiple automated programs and software.

Duties

-Prepares a wide variety of recurring and nonrecurring correspondence, reports, vitae, research manuscripts, training brochures, research proposals, psychological evaluations, workshop questionnaires and other related material and other documents and reviews and finalizes correspondence/documents prepared by others in handwritten or electronic drafts. -Screens and distributes incoming mail to identify what needs to be brought to the attention of the supervisor, referred to appropriate staff, rerouted to other services/clinics/offices, or handled personally. -Coordinates the work of the office with other services and/or clinics, recognizing what coordination procedures are required for different circumstances. -Personally answers substantive non-technical requests for information which can be provided based on information from records and files or personal knowledge of the program. -Establishes, updates, and maintains office procedures and records of various types that may be needed or will assist in the efficient operation of the office. -Registers employees for courses and prepares attendance reports. -Makes travel arrangements, such as scheduling transportation, making reservations, and preparing travel orders and vouchers, based on general travel intentions, known preferences of traveler, and in accordance with appropriate travel regulations. -Assists in maintaining fund control points for their section, and the office travel and tuition/registration fees. -Investigates and reports problems to Information Technology (IT) Service. Performs as the primary Automated Data Processing Applications Coordinator (ADPAC) duties for Community Care/PAS and Specialty Program Section Chief. -Schedules and coordinates meetings and/or conferences. -Independently plans and performs complex office automation duties requiring different approaches and methods from one assignment to another. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/12/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Preparing a wide variety of recurring and nonrecurring reports, correspondence and other documents; Reviewing and processing incoming and outgoing correspondence, materials, publications, regulations, and directives; Receiving telephone calls, greet visitors, and ascertain the nature of the calls or visits; Performing other administrative and clerical work in support of the office; Functioning as the office primary Automated Data Processing Applications Coordinator (ADPAC), troubleshoots technical problems users have with software packages and hardware issues; Arranging and coordinating meetings; Using word processing software and spreadsheet software to execute several office automation functions and graphical display of data. You will be rated on the following Competencies for this position: Technology Application Clerical Customer Service Quality Assurance Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
