Position will serve as work leader in the File/Scanning Unit of the Office of Integrated Veterans Care (OIVC) at the Michael E. DeBakey VA Medical Center (MEDVAMC).
Duties
Distribute and balance the workload among employees.
Keep in touch with the status and progress of work and make day- to- day adjustments in accordance with established priorities.
Estimate and report on expected time of completion of work and maintain records of work accomplishments and time expended and prepare production reports.
Instruct employees in specific tasks and job techniques and make available written instructions, reference materials and supplies.
Give on the job training to new employees in accordance with established procedures and practices.
Maintain a current knowledge and answer questions of other employees on procedures, policies, directives, etc.
Check on work in progress or spot check work not requiring review (e. g., filing or direct services) and review completed work.
Responsible for the control of a large volume of patients' medical record scanning.
Maintains workload and productivity reports for the unit.
Resolve simple, informal complaints of employees.
Maintain a records over-due database
Responsible for ensuring retention of medical records on a timely basis, for shipment to storage facilities.
Collect, prepare, scan, index, and quality review of paper health and administrative documents that are to be included in the patient's permanent medical record and/or administrative file.
Retrieving records from off-site storage and transferring records to other VA facilities.
Work Schedule: Monday - Friday, 7:00 am - 3:30 pm, subject to change based on the needs of the Agency.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/06/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: ability to lead others in order to accomplish the work; knowledge of multiple systems and current computer technology regarding tracking medical records, applications, spreadsheets; knowledge of medical file systems, procedures, flow of medical and medical center policies; conscientious in keeping the confidentiality of the variety of materials that will be handled. Note: This experience must be fully documented on your resume and must include job title, duties, beginning and ending date (month/year) of employment AND hours worked per week. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed four (4) years of education above high school level. Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of successfully completed post-high school education AND specialized experience. Physical Requirements: The work involves considerable walking, standing and bending in searching from various files. There is occasional lifting and carrying such items as record boxes and bulky files.
