This position primarily supports the ACOS but also supports the Supervisory Management and Program Analyst, Women's Health Director, Chief Medical Officers (CMO), Occupational Health Director, Veterans Education Coordinator, HPDP Coordinator and Whole Health Coordinator as well as Deputy Chief of Staff (DCOS) and a PENTAD member, Associate Director for Outpatient Operations (ADOO).

Duties

Duties: Receives all visitors and telephone calls to the ADOO, DCOS, ACOS Ambulatory Care Service and ancillary programs. Ascertains nature of call or business of visitors and determines appropriate action. Maintains and populates the calendars of the ACOS, schedules appointments and meetings upon own initiative based upon personal knowledge of the ACOS's workload and current issues of importance. Responds to requests for information concerning the ACOS functions. Prepares responses on schedule from source material. Anticipates need for information and systematically prepares material so that it is immediately available of the supervisor's needs. Arranges for conferences, including such matter as location, schedule, agenda and attendance list. Makes all travel arrangement, including schedules, reservations, travel orders and vouchers. Provides office automation and clerical support to subordinate staff members when required. Maintains complete administrative filing system, consisting of correspondence, policies, reports, JCAHO manuals and guides, management procedures, etc. Provides work direction and guidance to other clerical employees concerning procedures for preparation of correspondence and reports, filing, action document log, policy and position description revision schedule. Prepares electronic SF-52's for all personnel actions. Prepares request for educational seminars and funding for presentation to the Medical Center Education and Training Advisory Board prior to approval/disapproval. Orders supplies and equipment for the office and security maintenance services for office machines and equipment. Examines and verifies purchase orders and receipts, posts transactions to FCP records, reconciling same with A&MM and fiscal records. Initiates and submits computer access requests utilizing ePas software. Provides timekeeping support for assigned personnel and performs all duties assigned of the position. Work Schedule: Monday - Friday, 7:30 am - 4:00 pm, subject to change based on the needs of the facility. Bargaining Unit: This position is covered by AFGE bargaining unit. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/12/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing clerical/administrative duties in an office environment; Answering and directing phone calls and receiving visitors Preparing correspondence; maintaining files/records Using a computer to perform a variety of support tasks Scheduling and managing a calendar of appointments. Physical Requirements: Work is sometimes sedentary but requires walking, standing and carrying of medium weight items, such as patient records. Incumbent must have an even temperament and behave in a professional manner.
