This announcement will be used to fill Advanced Medical Support Assistant positions in The War Related Illness & Injury Study Center (WRIISC) Airborne Hazards and Burn Pits Center of Excellence (AHBPCE) at the New Jersey VA Healthcare system.
This position is a temporary position, not to exceed 2 years. Temporary positions may be renewed after the term depending on organizational needs and availability of funding.
Duties
The incumbent will coordinate outreach efforts to targeted Veteran population. The incumbent will be in charge of all recruiting and scheduling of patients for the WRIISC-AHBPCE and its affiliated research.

Duties include, but are not limited to:
Program Coordination:
Serves as a primary contact, liaison and resource for AHBPCE
Coordinates with Post Deployment Health Services (PDHS), VHA, VBA, and VA staff as needed to develop and implement updates or new policies that impact care of Veterans
Responds to questions from research and clinical patients concerning services offered by the AHBPCE and its affiliated research relating to eligibility for studies and information required before attendance
Provides advisory and technical assistance to patients, administrative staff, and subjects eligible for inclusion in studies
Imparts information about deployment related clinical services that can assist the Veteran in obtaining optimal care
Coordinates outreach efforts to targeted Veteran population for recruitment purposes
Coordinates travel and lodging for Veterans
Schedules research and Veteran WRIISC clinical subjects using VISTA
Provides guidance to Veterans via telephone calls, mail, and email, seeking assistance with the Airborne Hazards and Open Burn Pit Registry (AHOBPR)
Provides up to date Fact Sheets and brochures for VISN offices, Medical Centers, and Veterans requesting current information
Provides VA Medical Center staff support and training to navigate the registrant and clinical portal
Clear review status records and keep daily user status at a manageable level
Administrative Support:
Stays current with all research, privacy rules and regulations, operating policies, accepted professional standards and ethics, standards of JCAH, additional agency regulations, procedural manuals, and safety regulations of treatment facility and equipment.
Provides administrative support to the AHBPCE, compiling ADP security requirements, handling written correspondence and telephone inquiries, screening patients for possible participation in research protocols.
Develops minor modifications and/or recommendations for changes to policy for low complexity research issues, where problems can normally be solved by application of established research methods and practices.
Follows assigned protocols and accurately maintains records of the research and clinical center.
Provides staff development and training.
Manages staffing requirements and workflow priorities, and adjusts the flow of work to meet team and patient needs.
Data Management:
Produces quarterly table of participants by state each quarter.
Obtain and compile information from medical records of Veterans for clinicians to review prior to visiting the AHBPCE.
Prepares reports on several databases for submission to VACO and to WRIISC-AHBPCE clinicians.
Completes quarterly Airborne Hazards/burn pits website reviews and suggests any updates for Airborne Hazards related topics.
Work Schedule: Monday-Friday, 8:00am - 4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and/or Education:
Experience: Six months of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,
Education: One year above high school; OR
Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, Paragraph 3.j.
Grade Determinations: In addition to the basic requirements candidates must meet the following grade requirements.
Experience: One year of experience equivalent to the GS-5 grade, performing duties including but not limited to: independently perform a full range of duties related to the delivery of healthcare services in an inpatient or outpatient setting. Scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic, monitoring both inpatient and outpatient appointments in areas of responsibility; verifying and updating demographics and insurance information when patients check-in for appointments. Coordinates administrative functions relating to emergency and non-emergency transfers.
Demonstrated Knowledge, Skills and Abilities: Candidates must demonstrate all of the KSAs below:
Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.;
Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.;
Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.;
Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.;
Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.; and
Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
