The Supervisory Medical Support Assistant (MSA) position(s) serves as a direct line supervisor within the Clinic Practice Management service at Oscar G. Johnson VAMC. The Supervisory MSA serves as the direct line supervisor for the Lead Medical Support Assistant(s) and all Medical Support Assistant (MSA) staff and is a foundational role within the VHA Patient Aligned Care Team (PACT) initiative, Specialty Care, and all interdisciplinary clinics.

Duties

Duties include: Researches and analyzes data via computer generated reports. Plans and coordinates high volume of work flow, resolving complex problems to ensure patient services are met. Make decisions independently, handling difficult situations and working under pressure. Discuss, investigate, and respond to employee grievances and dissatisfactions in order to resolve conflicts. Assigning and evaluating the work of subordinate staff. Evaluating new products, equipment, and systems in order to make recommendations for improved operations. Identifying educational or training needs of subordinate employees. Make final decisions on selections for vacant positions. Evaluating subordinate employees performance and taking disciplinary action when necessary. Work Schedule: Monday -Friday, 7:00am-3:30pm Virtual: This is not a virtual position. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Education or Training: Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR Education that is one year above high school; OR Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Physical Requirements: Must pass a pre-employment physical per VA Directive and Handbook 5019. English Language Proficiency: MSA's must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Requirements: In addition to the basic requirements, you must meet the following grade requirements. GS-08 Supervisory Medical Support Assistant: One year of experience equivalent to the GS-07 grade level. To be creditable, the experience must have demonstrated the knowledge, skills, and abilities (KSAs) associated with current Advanced MSA responsibilities or an equivalent role in a non-VA medical inpatient or outpatient setting.: Specialized experience must include the ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines; skill in communicating with individuals in order to obtain the desired effect, ensuring compliance with established policies and regulations; ability to provide staff development and training; ability to manage staffing requirements, manage priorities, and coordinate work in order to complete duties in an accurate and timely manner; ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work; and the ability to review and monitor data to ensure all reports are complete and accurate; advanced knowledge of managing a clinic; advanced knowledge of policies and procedures associated with operational activities that affect patient flow, patient care, and the revenue process; and advanced knowledge of medical terminology. In addition to the one-year experience at the GS-7 grade level, Candidates must demonstrate the KSAs below: Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training in a patient support setting. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. Physical Requirements: The majority of work is performed in an office setting, primarily while seated. The position requires some standing, ambulation, bending and carrying of items such as training manuals. In addition, there can be increased stress due to the intensity of a patient/customer complaint or concern.
