This position is located in the Pharmacy Service of the West Texas VA Health Care System (WTVAHCS), in Big Spring, Texas. The primary purpose of this position is to assist the Pharmacy Service by providing program support to the Chief and supervisory staff.
Duties

Duties include, but are not limited to, the following:
Provides support by establishing and maintaining a suspense system for all reports, correspondence, service memoranda, and other time sensitive items
Provides typing support by transcribing minutes of meetings, mail review and referral, audits and prepares reports for review by supervisory staff, computer entry of work orders, timekeeping and general office automation activities
Provides general clerical public contact support services such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures
Screens calls and personally answer calls
Composes correspondence on own initiative
Types written reports from drafts or from mechanical recording devices into finished copy
Assures proper arrangement, grammatical accuracy, and spelling of final copy
Reviews directives and instructional material pertaining to administrative practices and clerical procedures
Types letters, memoranda, inventories, rosters, mailing lists, and other general office material using software applications such as electronic mail, desk-top publishing, calendar, spreadsheets, database and/or graphics
Assists with formulating and provides all essential data for annual budget forecast
Maintains budget control records and assures that funds are used in accordance with the operating budget
Performs work in support of purchasing and/or procurement of services, products, supplies and/or equipment
Performs timekeeping duties
Schedules appointments, coordinates meetings, and/or schedules conferences
Performs all other duties as assigned
Work Schedule: Monday through Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet the following:
SPECIALIZED EXPERIENCE: Have at least one (1) year of specialized experience equivalent to the next lower grade level (GS-5) in the Federal Service, that has equipped you with the particular knowledge, skills, and abilities to successfully perform the duties of this Secretary position, and that is typically in or related to the work of this position. Specialized experience includes receiving visitors and telephone calls to the office; scheduling appointments; managing a calendar; preparing various correspondence, reports, and other forms of written communication; assisting with preparing travel arrangements; utilizing various computer applications such as Outlook, Word, Excel, etc.; and maintaining files. NOTE: Applicants wishing to receive credit for such experience must clearly indicate the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, or books. No special physical demands are required to perform the work.
