This position is located at the Fort Belknap Service Unit in Harlem, MT. The purpose of this position is to provide clerical and administrative support services. The incument reports to the Deputy Health System Administrator or designee.
Duties
Schedule meetings, arrange conference rooms, and inform participants of such meetings. Prepare reports and meeting minutes following events.
Maintain the calendar for the Deputy Health System Administrator and other assigned leadership roles.
Serve as the ITAS and Travel Coordinator for the service unit.
Ensure office supplies for the department are properly ordered and stocked.
Handle telephone calls with consideration and courtesy for the Office of the Deputy Health System Administrator
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS
GS-06: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-05 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
Schedule and arrange conference/meeting rooms, seating arrangements, equipment, Etc. Inform participants and anticipates the need for such conferences. Ensure materials needed for review are prepared in advance for meetings and are available for the Deputy Health System Administrator; Prepare reports and meeting minutes; Serve as backup timekeeper in the absence of the assigned timekeeper in any of the departments within the service unit; and ensure travel arrangements are properly coordinated for service unit attendees.
GS-07: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-06 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
Maintain the calendar for the Deputy Health System Administrator and other assigned administrative leadership positions; Ensure office supplies for the department are properly ordered & stocked; Provide training and guidance to the service unit timekeepers; Respond to timekeeping inquiries and solve discrepancies; Serve as the service unit Federal Agency Travel Administrator (FATA); Solve travel discrepancies pertaining to outstanding travel advances, travel vouchers and/or unauthorized travel; and maintain a commitment register of all purchases and payments of assigned card.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
