This primary purpose of this position is to provide administrative support to the M2VA, Inpatient, and Outpatient Social Work programs but will also provide administrative support across all Social Work programs, as needed. Incumbent will be supervised by the Administrative Officer of the Social Work Service at the Birmingham VA Medical Center.
Duties
Incumbent is responsible for performing administrative work which includes collecting, compiling, and tracking data and statistical information in support of various programs. This includes but is not limited to: medical inpatient and outpatient administrative support, preparing and tracking patient discharges, scheduling appointments, generating letters, typing various correspondence, filing, and other duties as assigned by the Administrative Officer and/or their delegate.
Performs administrative work which includes collecting, compiling, and tracking data and statistical information in support of various programs.
Prepares and formats reports, spreadsheets, and miscellaneous correspondence using Microsoft Word, Excel, PowerPoint and Publisher software programs.
Works independently on ongoing projects and continually updates and analyzes records providing accurate and timely information upon request. The incumbent must possess the ability to apply basic analytical methods to interpret data and recognize errors and deviations.
Assists in the preparation of program reports; prepares data analysis, prepares and coordinates correspondence, inquiries, and other actions. Composes reports and meeting minutes as directed by Administrative Officer (AO). Processes incoming correspondence, faxes and action documents, receives and distributes incoming mail for Service Line.
Maintains and posts time and attendance reports using the automated system and
in accordance with established procedures, maintains leave calendar, and posts projected leave to the calendar.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Knowledge and experience in the following: using a personal computer for entering and retrieving data; using various software and Microsoft Outlook programs; highly developed written and verbal communication skills; addresses customers in a pleasant and respectful manner displaying courtesy at all times; receives telephone calls and forwards calls as appropriate; edits letters, composes letters and reports; reviews correspondence for accuracy and completeness; screening requests according to priority and referring inquiries to appropriate sources; maintaining privacy in carrying out daily tasks, activities and duties; professionalism and enthusiasm in working with various disciplines and customers; timekeeping.
