The primary function of the position is to provide personal assistance to the Executive Leadership Team (ELT) member by performing a variety of executive- level secretarial support and administrative duties necessary to the accomplishment the executive's responsibilities.
Duties
Major Duties:
Has exclusive control over the schedules and calendars using own initiative and judgment in determining priorities for appointments and activities.
Advise the ELT members of the nature of conferences, appointments and meetings which are scheduled and assures that all necessary background materials are made available for review prior to the appointments.
Review all correspondence and other inquiries received by the ELT members and determines which ones must be brought to the immediate attention of ELT and which ones may be handled as a matter of routine.
Follow up on deadlines for assignments and review reports or responses prior to submission.
Develop spreadsheets, graphs, and computer presentations to assist in displaying information.
Compile reports, plans, and studies for publication to a large audience.
Assist in this process for monitoring progress, reviews for accuracy, ensures on-time completion, and tracks timeliness of responses.
Ensure maintenance of timecards and personnel records for assigned staff, as well as necessary performance records for those under the supervision of the assigned ELT members.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/28/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Establishes and maintains internal task suspense log and managing meet suspense dates. Provides administrative assistance to coordinate with tasked parties to assemble appropriate responses. Drafts and reviews all written correspondence for accurate spelling, grammar, punctuation for accuracy. Maintains supervisor's calendar of events providing appointment reminders, furnishing briefs of subject matter and/or purpose of meeting. Schedules supervisor appointments with authority for time commitment, along with calendar adjustment due to unforeseen circumstances. Creates, processes and/or tracks personnel actions as assigned. Serve as a time-keeper or back-up timekeeper for service. Gathering and analyzing data and developing special and regular reports. Acts as advisor to lower echelon/subordinate level secretaries, periodically holding meetings to advise secretaries of changes to administrative procedures or correspondence changes which have broad immediate implications in their work.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is normally sedentary, but includes some walking, standing, bending, and carrying of light items such as papers and books. No special physical demands are required to perform the work.
