This position is located in Memphis, TN and will work within the Mental Health Service as a Program Support Assistant for various training programs. These include Psychiatry, Nursing, and Psychology training program within MH Service, and students from other programs that train within MH Service. This position provides a complete range of program support which includes customer service coordination, data analysis and graphing program specific projects, monitors, and compiles data.

Duties

Major Duties: Provides administrative support planning, implementation, and quality management for training program(including those specific to maintaining program accreditation) Ensuring residents, fellows, interns, and students are credentialed to work at the VAMC each academic year. Provides administrative coordination and day-to-day operations of the training program, inclluding serving as a primary point of contact for regional affiliates. Responsible for yearly credentialing of trainees, including maintenance of enrollment package, assisting with fingerprinting requirements, requesting computer accounts and notification when IDs are ready, and other necessary onboarding activities necessary for trainees Assists service chiefs/staff to resolve any credentialing or resident/trainee application issues Works with universities and incoming trainees to complete Prepares correspondence, i.e. letters, proposals, meeting minutes, conferences, confidential material, reports and surveys. Inputs evaluation/data into the computer. Responsible for collecting, analyzing, summarizing, and entering data for completeness and accuracy. Provides a wide-range of assistance to program's clinical staff. Transcribes and types forms via Dictaphone or written methods. Receives and makes telephone calls, greets visitors, schedules meetings. Creates and maintains files of agency regulations, guidelines, directive, and manuals including applicant and trainee files Responsible for work orders for repairs, supplies, and equipment. Initiates Fiscal and Acquisition forms and purchase card orders. Work Schedule: Primarily Monday-Friday, 8-4:30, but may have occasional evening and weekend hours, based on operational needs. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/25/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative and clerical support to a multi-disciplinary team in support of the mission of the organization; strong ability to work independently to organize and prioritize duties and responsibilities, and knowledge of computer skills. You will be rated on the following Competencies for this position: Attention to DetailCommunicationData ManagementTechnical Competence Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary but may require some minimal walking and occasional bending or lifting/carrying light materials. The position demands periods of intense concentration and the ability to maintain self-control in difficult situations.
