This position is located within the Health Information Management Service (HIMS) at the VA Medical Center in Albany, NY. The File Supervisor serves as the frontline supervisor responsible for the daily operations of the File Room Unit, which consists of Release of Information, Filing, Scanning, and Transcription services.
Duties

Major duties and responsibilities include:
Provides oversight for the handling of all complex requests and those having legal implications
Ensures that all subpoenas, court orders, and Freedom of Information Act (FOIA) requests are handles in a timely manner
Provides backup support to transcription to ensure timely completion and accessibility of dictated reports
Provides assistance and backup support to Release of Information, ensuring that time-sensitive urgent and legal requests for information are processed in a timely manner
Provides assistance and backup support to the file/scanning unit, to ensure that information is readily available to support patient care
Provides services and technical advice to meet procedural and administrative requirements relating to the filing, retrieval, and inactivation of the health record, transcription services, and release of information
Reviews staff work, assessing the timeliness and quality of work produced
Develops performance measures for each unit
Develops and maintains workload tracking reports to monitor and report performance measures
Completes formal employee performance evaluations
Completes work schedules and oversees attendance and approval of leave
Resolves employee complaints
Assist in short- and long-term planning
Serves as the alternate Privacy/FOIA Officer for the Medical Center
Performs other related duties
Work Schedule: Monday through Friday, 7am-3:30pm; or 7:30am-4pm; or 8am- 4:30pm

This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-9. At the GS-7 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-9. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher-level work, and availability of funds.
Qualifications
To qualify for this position at the GS-7 level, you must have: At least one (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties of this File Supervisor - Health Information at the development level. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-6) in the Federal service. Specialized experience is experience working independently and efficiently in a clerical or administrative environment where you were responsible for complying with technical and procedural guidelines as it pertains to health information filing, privacy, and release of information; performing administrative clerical requests and tasks; filing and scanning; and assisting with Privacy and Freedom of Information Act (FOIA) requests. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.
