The Supervisory Medical Support Assistant (MSA) provides clerical and administrative support for the Community Care Department. Monitors the status and progress of work, and makes day-to-day adjustments in accordance with established priorities. Gives on-the-job training to new employees in accordance with established procedures and practices.

Duties

Provides information via telephone and in person to the general public, members of the professional staff, civilian, and military personnel in response to inquiries regarding appointments. Supervisory MSA performs supervisory administrative support duties in a Clinic Based Outpatient Clinic (CBOC), Telephone Care Center, Inpatient, Outpatient Clinic, Purchase Care, or Primary Care. He/she plans and directs programs and has full supervisory responsibility. Assignments include, but are not limited to: Assigns and evaluates work of subordinate staff. Resolves complex problems to ensure patient services are met. Identifies educational or training needs. Makes final decisions on selection of new staff, evaluates performance, and takes disciplinary action when necessary. Has full administrative and professional responsibility for planning and directing the subordinate Medical Support Assistant activities .Extracts and analyzes data in order to provide reports in support of performance measures to senior management. Works collaboratively in an interdisciplinary coordinated care delivery model, Patient Aligned Care Team. Coordinates with the Care Team to review clinic utilization using various reports, ensures that the clinic setup is closely monitored to effectively support the needs of the clinic, and makes necessary adjustments. Participates in team huddles and team meetings to manage and plan patient care: sets priorities and deadlines, adjusts the flow and sequence of work to meet team and patient needs: works with the team to reinforce the plan of care and self-help solutions. Participates in problem solving and provides input on operational issues or procedures in team meetings; participates in and independently follows up on team huddles by sharing information and collaborating with the medical team to assure continuity of care: informs and educates providers about shared patients (those receiving care at multiple VA locations or in the community); contacts patients to coordinate follow-up care. Enters, manipulates, and retrieves information and data from Vista and other clinical information systems as appropriate to area assigned. Completes requested forms, manually or using automated systems, for individual patient orders for blood work, X-rays, radiation therapy, respiratory or ventilated care consults and other request as required. Schedules and coordinates appointments for patients with various clinics, ensuring all treatment requested by the physician has been scheduled, and rescheduling appointments when necessary. Responsible for the clerical duties inherent to admission, care and discharge of inpatients or the in-processing, care and out-processing of outpatients and guests. Reconciles end-of-shift/end-of-day processing and reports. Work Schedule: Monday - Friday; 8:00-4:30 Hours Negotiable Financial Disclosure Report: Not required

Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience 1 year of experience at equivalent to the next lower level of GS-07. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j. Physical Requirements. See VA Directive and Handbook 5019. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: GS-08 Experience. One year of experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting. Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below: Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training in a patient support setting. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. One year Community Care Service experience is PREFERRED The full performance level of this vacancy is GS-08. The actual grade at which an applicant may be selected for this vacancy is in the range is GS-08. Physical Requirements: The work is sedentary. It occasionally requires carrying of light objects such as files, books and papers; some walking, standing, and bending. No special physical qualifications are required.
